Main purpose of the post

This new and emerging charitable organisation requires a flexible and creative Administrator to manage and establish the office, its systems and assist the Director as required.

Ability to create and maintain administrative systems, financial systems and databases are crucial aspects to this post.

Main duties and key responsibilities

Administration

  1. To provide administrative, clerical and IT support including organising meetings, photocopying and central filing.
  2. To manage the day-to-day running of the office and to assist the Director in managing all systems and office duties.
  3. To create and maintain appropriate central filing systems.
  4. To create and maintain the West Euston Partnership’s databases and other information systems both electronic(including the WEP website) and paper based.
  5. To receive telephone calls, answer queries, redirect or take messages as appropriate.
  6. To liaise and place orders with suppliers of office furniture, equipment and stationery.
  7. To take the minutes at meetings and circulate appropriately.
  8. To assist in the distribution of information, leaflets, circulars, notices etc to the voluntary sector and others as required on a regular or ad hoc basis and to maintain a distribution system.
  9. To undertake West Euston Partnership post duties including collection, dispatch and delivery of mail.
  10. To be the first point of contact for all users and visitors to the West Euston Partnership and to establish the nature of their visit and direct to the appropriate person.
  11. To organise events such as training, network meetings, seminars and conferences etc. including mail outs, liaison with trainers and venues, collating evaluation returns etc.
  12. To provide word-processing support for the West Euston Partnership for general documents/correspondence and committee reports.
  13. To maintain a register of equipment and resources for the centre for insurance and ordering purposes

Financial administration

  1. To maintain financial systems such as bookkeeping, dealing with invoices and petty cash.
  2. To negotiate on cost of stationery, equipment and publications that are purchased for the project
  3. To maintain the petty cash float enabling payments to be made and recorded accurately
  4. To attend training to support entry onto finance database

General

  1. To undertake any such other duties as are commensurate with the nature of the job to meet the needs of the West Euston Partnership.
