POSITION TITLE:Secretary to Student Servicesand Campus Ministries

REPORTS TO:Dean of Student Services /Director of Career Developmentand Counseling Services

Dean of Spiritual Life & Campus Pastor

BASIC FUNCTION:The basic function of the Secretary to Student Services is to provide administrative assistance to the offices of Student Services, Campus Ministries and Multicultural Affairs.

QUALIFICATIONS:

  • Strong communication, interpersonal, and team work skills
  • Possess a high level of problem solving skills and organizational skills
  • Ability to execute multiple projects and tasks concurrently
  • Computer skills including email and Microsoft Office programs / Excel / Word / PowerPoint / Outlook
  • Friendly, courteous, helpful demeanor
  • Values excellent customer service
  • Social Media (Facebook, Twitter, Instagram ) and marketing skills

CAREER SERVICES RESPONSIBILITIES:

  1. Career Development
  2. Email job opportunities to students and departments within the major.
  3. Maintain the Career Services job opportunities on H.U. Career Services Facebook page.
  4. Post community part-time positions when available to students.
  5. Assist students as needed with the use of FOCUS II-a computer-based career and educational planning system.
  6. Schedule camp visit days and recruiter visits as needed and notify students of all scheduled visits through social media and Coffey Break news
  7. Maintain career library with job opportunities, graduate school and seminary information, internship and fellowship information, as well as general career information.
  8. Plan and coordinate all details relevant to career programs.
  9. Assist with Who’s Who selection process.
  10. Gather and submit information for the ‘Realizing the Dream’ award.
  11. Gather data to be used with the graduate survey.
  12. As part of a consortium of regional universities, assist with various logistical aspects of its planned events, e.g.,Teacher Interview Day.
  13. Cover Student Life Office when Administrative Assistant to the Vice President of Student Life isout of the office.
  1. New Student Programs
  1. Provide assistance to the coordinator of new student programs as needed.
  1. Personal Counseling
  1. Adhere to ethical guidelines of confidentiality for the counseling profession.
  2. Oversee scheduling of student appointments for career or personal counseling services.
  3. Contact Martha Smith for mental health emergencies.
  4. Provide office support for counseling interns.

CAMPUS MINISTRIES RESPONSIBILITIES:

  1. Chapel Program Support
  2. Chapel speakers
  3. Arrange lodging, travel, meals, and honorarium
  4. Provide technical support
  5. Work with MCA staff for chapel program logistics
  6. Music
  7. Set up music schedule for Joyful Noise for semester

c. Chapel Schedule

i. Manage and update chapel schedule for the online portal, Coffey Break,

Facebook page, and Forester Feed

ii. Collect biographical information of chapel speakers/presenters

d. Chapel Workers/Scanners

i. At the beginning of the semester recruit, train, and manage three student

chapel workers

ii. Input and approve hours through ADP system weekly

  1. Chapel Credit Records
  2. Enter information into the Chapel Records system at the beginning of each

semester through the CX program

  1. Upload data from scanners after each chapel
  2. Run delinquency reports throughout the semester and provide a report to the

office of Student Success

  1. Send letters to students who are delinquent for the semester
  2. Maintain a Master List of Delinquencies
  1. Campus Ministries Program Support
  2. Hiring Process for Student Leaders (Joyful Noise, CMC, & Friesen Center)
  3. Update and maintain online applications
  4. Organize references and applications
  5. Communicate with all applicants outcomes of the hiring process

b. Fall Retreat Planning

i. Coordinate details for meals, activities and the retreat schedule

ii. Send information to Food Service and Residence Life for early arrivals

c. Support for Coordinators (CMC)

i. Be available to the coordinators to help them with details for their teams

(ex. Petty cash, copying, conference registrations, travel, etc.)

OFFICE OF MULTICULTURAL AFFAIRS:

  1. Horizon Leadership Program
  2. Assist with the recruiting process.
  3. Assist director with the scholarship interview day.
  4. Multicultural House
  5. Reserve usage of the Multicultural House
  6. Create and print flyers for events and activities
  7. Manage logistics for events and activities

Office Duties

  1. Handle all office traffic and redirect when necessary.
  2. Maintain attractive atmosphere.
  3. Keep a calendar for director and office personnel.
  4. Maintain office supplies and forms.

Assist with other projects and perform other duties as assigned by the Dean of Student Services/Director of Career Development, and Dean of Spiritual Life & Campus Pastor, Vice President for Student Life.
