Dear Team Managers and Competitors,

UK REGIONAL TETRATHLON CHAMPIONSHIPS

We very much look forward to seeing you all at Aylesford;please see below briefing notes on the overall event and each on each phase. Please take note of the information and directions and comply with the requests to ensure smooth and safe running of the event. Good luck and we hope everyone has a good time. We are very grateful to Peter Walker and his family for hosting this competition – please impress on your team members and their families to respect the facilities and stay within the bounds of the areas that are open to us.

DIRECTIONS

The venue is easy to find and only 5 minutes from the A46 Leicester to Newark Road on the A6006 towards Melton Mowbray.

Please allow 45 mins to an hour to get to Grantham as Melton is busy on Saturday mornings – also there may be diversion at Grantham due to road works on Harlaxton road

ARRIVAL AND CHECK IN

On arrival please follow directions of the stewards – lorries and trailers will be directed into the field to await checking. Horses will be checked in and unloaded and lorries to be mucked out in the check in area before going into the campsite if used for camping.

Vaccination Certificates and PassportsHorse Vaccination Certificates and Passports will be inspected by vets as you enter Aylesford , any horses without a valid Vaccination Certificate or Passport will NOT BE ALLOWED ON SITE. Please check bothof these documents now, to avoid any unnecessary disappointments.A deposit of £25 per stable will be required when horses are checked in (made out 1 cheque per stable) this is required to ensure boxes are completely cleared. Cheques will be returned/ destroyed when boxes are checked on departure, or retained if we need to clear stables.

STABLES

  • Temporary stabling will be available from Friday 8thAugust, from 2.00 p.m. Shavings can be purchased at £8.00 per bale.
  • Stables need to be vacated by 12 noon on Monday 11thAugust, and must be fully mucked out into the skips/heaps provided.
  • NO STRAW – SHAVINGS ONLY PLEASE.
  • All competitors will be given a vet check slip on arrival – please leave this note firmly fixed on their stables with an emergency contact number/s during the competition.
  • Exercise area will be provided on the tracks round the farm (these will be signed) In hand grazing only in the area round the stables – no exercising on or near the XC course.
  • Emergency procedures - Gate closed to field at all times – in case of fire alarm (hooter) horses to be released into grazing paddock. There will be fire buckets and extinguishers in all areas FOR EMERGENCY USE ONLY

COMPETITORS WILL BE RESPONSIBLE FOR PAYMENT TO VET & FARRIERS FOR THEIR SERVICES

CAMPING AND GENERAL HEALTH AND SAFETY

We are grateful for the generous sponsorship of Plevin – supplier of Snowflake Shavings which has allowed us to provide onsite mobile showers !

Please pitch camp in your allocated regional areas and leave enough room between tents / caravans / lorries for emergency access and fire safety. Vehicles and lorries / trailers not required to sleep in must be parked in the day parking area and not in the campsite. There will be a H&S inspection on Friday evening and please respect reasonable requests to move vehicles etc.

  • Children must not be left unsupervised on the campsite, there must be a responsible adult or Regional Team Manager on site at all times. There will be water, mobile showers and loos but no electric hook ups. Small enclosed BBQ’s are permitted – but please no open fires or braziers. Each tent or caravan / lorry must have its own fire extinguisher.
  • Please place litter in the bins provided or take it home – do not leave litter around the campsite or stables
  • No one without a full driving licence & insurance should drive a motor vehicle on site at any time
  • The camp site needs to be vacated by 12 noon on Monday 11th August.
  • DogsAll dogs must be kept on leads at all times – please clean up after your dog.
  • There will be a curfew on campsite at 11.30 p.m. No access to stables from 11pm to 6 am
  • EntertainmentThere will be a Hog Roast and Wild West Theme Disco on Saturday night, the cost per person will be £15/head in advance – £10 disco only on the door. There will be a licensed bar – over 18’s only and proof of age required.
  • CateringThere will be mobile catering unit on site throughout the weekend serving snacks, meals and drinks.
  • Commemorative Polo topsordered and paid will be available for collection at the briefing

  • The secretary’s box will be open for information and enquiries at the following times:

Friday 4 pm and Briefing at 7.00 pm

Saturday – 8 am Aylesford and then at Grantham, 4 p m Aylesford

Sunday 8 am – collection of XC numbers ( Please could team managers collect ALL team numbers for their teams and ensure they are all returned)

4 pm (before prize giving) for return of any remaining XC numbers

Emergency Contact Numbers will be posted at secretaries and in team mangers packs at briefing

COMPETITION

Will be run in accordance with PC Tetrathlon Rules for 2014. Team managers should ensure that all members are aware of the rules relating to dress codes for various phases, and are fully briefed.

Scores will be posted on the score boards during the competition – any queries or problems with scores should be notified to the phase steward or secretary by team managers as soon as possible.

SHOOT AND SWIN– take place at Grantham Meres Leisure Centre. Please allow plenty of time to get to Grantham – Melton is often busy on Saturday mornings and there may be diversions due to road works at Grantham.

From Aylesford take the A6006 to Melton and then the A607 to Grantham

Please check in with the stewards in good time for gun checks and to be seated in the shoot hall 15 mins before your shoot time. PLEASE NOTE ALL SHOOTING RULES IN RULE BOOK RE DRESS AND LAW AND SAFETY OF GUNS AND OF GAS CANNISTERS – pistols must be in possession of an adult at all times, not unboxed until authorised to do so by the firing point steward at the range, and kept securely locked away at other times. Guns and pellets must comply with PC rules and will be checked. Only competitor and loader / assistant in the range. Targets will be available as soon as they have been scored and must be checked by team managers and signed for before leaving the leisure centre. Swim scores will also be posted at the leisure centre and any challenges to scores should be raised before leaving Grantham – no challenges will be accepted at Shoby.

Swim times are tight to fit in the time the pool is available and allow time for the inter regional relay – please be prompt for warm up time and heats. Only one supporter / trainer per lane.

RIDE. XC

Course plan of the XC will be posted at the course– please check the final plan. XC course open to walk from 2.00 pm on Saturday – no one to be on the course before that time. Please report for tack check at least 15 minutes before your ride time. You will be given a slip to hand to the starter. Please note rules on tack and dress in rule book. Tack & dress will be inspected - in particular remember hats should be PC tagged, and must be worn with chin strap fastened at all times while mounted, riders must wear a completed medical arm band and appropriate back protector. Boots must comply with PC rules (no inter locking stirrup treads and soles) and stirrup irons should be correct size for the foot Riders must provide signed spurs card or evidence of passed B test.

XC numbers collected from the secretaries – numbers must be returned at the end of the XC course or the secretary before prize giving.

Please complete your commentator’s notes and hand them in when collecting numbers as it makes for a much more interesting XC commentary – sensible and usable information only please!

Shared horses are indicated on the ride times – shared horses will be fitted in and may run out of the published order, and horses must be passed by the vet before presenting to start their second round.

Any rider having a fall must report to the medical officer before leaving the course.

RUN

Please check final course plan at start of running course. Running course will be open to walk on Saturday PM.

Please check in with the run steward at least 15 minutes before your expected start time. Please pin numbers on your FRONT. Runners will start at minute intervals so please be on time.

PRIZE GIVING

Results will be posted as soon as possible after the completion of each phase – any objections / questions to be raised with the secretaries as soon as possible. Jury of appeal will be Chief Steward / Organiser/s / Phase Steward / We will aim to start the prize giving promptly after the final results are posted. Competitors in team colours and riding dress please. Venue will be marquee or outside – subject to weather
