Procedures for Long Service Leave Payments for Research Grant Funded Staff

1.1Contract staff employed on research grants accrue long service leave (LSL). No actual liability arises until the staff member has reached seven years of service.

1.2In the case of payout of LSL on cessation of employment, or cash payout of LSL in service, the grant currently funding the staff member’s appointment is not normallyable to be used as the source of funds to cover the cost, either due to grant conditions or insufficient funds.

1.3The University has determined that the University’s central LSL reserve fund will be used to cover the cost of LSL paid out on termination and cash payouts for all research grant funded contract staff.

1.4Thisinitiativeappliesfrom1January2014in the case of payout on cessation of employment and from 1 January 2015 in the case of cash payout in service. It applies to both academic and professional contract staff.

1.5LSL taken as leave (i.e. not as a cash payout) during the term of a contract will be charged to the grant funding the staff members’ employment at the time the leave is taken. If grant conditions are such that the grant cannot cover the full cost of such LSL the relevant organisational unit is responsible for covering the additional cost.

1.6The central LSL reserve fund may only be accessedfor research grant funded contract staff employed on projects with approved research source codes[1]. Refer to Appendix A for the list of approved source codes. The Director Financial Services is authorised to approve changes to the list of approved source codes.

1.7At the cessation of a contract staff member's employment with the University, Human Resources will verify whether the contract staff member is employed on an eligible research grant by reference to the approved source code list. Where this is the case, Payroll will directly debit the LSL payment made on cessation to the central LSL reserve fund.

1.8In the case ofin service LSL cash payouts madeto research grant funded contract employees whose employment is funded by an eligible research grant, the central LSL reserve fund will reimburse LSL cash outs by journal. Payroll will provide a monthly report to Grants Finance detailing LSL cash outs for contract research staff. Grants Finance will process a journal to charge the amount to the central fund.
