COMMUNICATION GUIDELINES 2014-2015

Printed Material (flyers, invitations)

●Always use Brophy logo on invitations or flyers (not necessary on internal e-mail communications) - using the logo gives you “free reign” on the kind of invitation you would like to use.

●Please use the Brophy Copy Center print shop for printing needs. Please give Michelle Kucharski, , advance notice! (Located on 1st floor west end of Brophy Hall.)

Monday E-News—Kristin Venberg -

●Audience is all current moms/step moms and is published each Sunday evening.

●Submissions for Monday E-News should be calendar/activity oriented, no more than 3-4 weeks out from actual event.

●Deadline is Wednesday prior. There will be a publishing break over Christmas, Spring Break, and the month of July.

●All submissions will be reviewed for content prior to publication.

Mothers’ Guild Mass Emails—Kristin Venberg -

●Audience depends on the purpose of the communication -- freshman, sophomore, junior, senior, and/or alumni moms groups.

●Submission on an as-needed basis. Please give at least 2-3 days notice.

●All submissions will be reviewed for content prior to publication.

E-Mails within Committees

●E-mail messages should have “Brophy” somewhere in the subject line so they don’t get deleted as junk mail.

●Use BCC—blind carbon copy

Do not ask recipients to hit “reply all” if you have a large distribution list. Many people use their cell phones to read email and it can clog up their accounts.

●Limit graphics or animated images of any kind into e-mails. You may include any attachments (i.e. flyers, invitations).

Evites – Stacy Ames

●Mothers’ Guild will use evites ( for monthly meetings and selected events where attendee count is helpful. If you would like to use this communication tool for your event, please contact Stacy Ames:

●Users can find us on Facebook by searching on “Brophy Mothers’ Guild” and “liking” the page.

●Online calendar is maintained by Mothers’ Guild -- Laura Tolson: .

●Focus of website is to put non time-sensitive information/flyers/forms on the website, i.e. Membership form, Co-Chair listing, Check Request form, etc.

●Website is maintained by school with limited updating ability by Mothers’ Guild.

●All website submissions must be approved by the Mothers’ Guild President before we can ask them can be posted. Documents should be sent in a PDF format if possible.
