  1. Job Summary

2.1.Toensure quality and compliance of contractual paperwork and digital records across two employability contracts.

  1. Organisational Relationships

3.1.Reports to theOperational Manager (Employability).

  1. Main Duties

4.1.Acting as systems manager for administrating specific systems including My Work Search, PICs and Iset. To be responsible for the security of data and access rights to the systems

4.2.Inputting and updating client data and producing reports when required (for all contracts in employability)

4.3.Taking a lead with managers with the production of weekly, monthly, quarterly and yearly quality and compliance reports.

4.4.Quality check and review of all client paperwork relating to employability programmes (internal and subcontractors).

4.5.To conduct Monthly file checks on all contracts

4.6.Monthly observations on each member of the team (Alternating between Sign up’s, Initial Engagement Meetings and Action Plan Reviews)

4.7.Supporting staff with loading all contractual paperwork onto in house data system.

4.8.Responsible for quality checking interventions such as action plans, CV’s, and covering letters.

4.9.Preparing files for internal and external audits with SFA/ESF and DWP.

4.10.Delivering group and 1-1 quality and compliance training to staff

4.11.Monthly sample checks of supply chain contract paperwork.

4.12.Working closely with the Contracts Assurance team in Portsmouth and with the Quality and Compliance teams within Prime contractors.

4.13.To ensure office is compliant and data security is adhered to, check office floor, rooms and printers are clear information relating to clients and shredded immediately

4.14.Send Compliance reports and amendments due to advisors with follow up actions

CRITERIA / ESSENTIAL / DESIRABLE
Qualifications/Experience / Experience of working in a team, coordinating and implementing plans / .
Knowledge / Good knowledge of case management and performance management systems
A sound knowledge of using Microsoft software, particularly Word, Excel at a basic to intermediate level.
Skills/ Abilities / Ability to set and work to agreed targets and work schedules.
Good verbal and written communication skills.
Ability to organise one’s own tasks with minimum supervision.
Ability to input information quickly and accurately
Good attention to detail / .
