Payroll Administrator

Job Description

Working under the supervision of the Payroll Director, the Payroll Administrator is responsible for all aspects of payroll processing for a designated segment of the University’s employee population. The Payroll Administrator operates under general supervision and uses sound judgment to process payroll and resolve issues in accordance with all applicable employment and tax regulations, as well as in accordance with University policies and procedures.

The Payroll Administrator interacts directly with University employees at all levels and uses excellent communication skills to provide support and resolve issues. The Payroll Administrator follows up on outstanding issues and communications to ensure completion of assignments and positive outcomes.

  • Review all incoming personnel/job changes for accuracy
  • Verify all job setup and changes in the computer system
  • Coordinate with assigned departments to ensure timely receipt of all required input
  • Review payment submissions for completeness, accuracy, classification and authorization
  • Determine appropriate payroll action required based on departmental submissions
  • Calculate salary differential and resolve any discrepancies
  • Prepare manual pay checks, as required
  • Setup and maintain:
  • Federal, state and local tax withholding
  • Direct Deposit accounts
  • Ongoing and one-time payroll deductions
  • Verify taxable wages recorded and make any adjustments required
  • Process vendor payments to disburse payroll withholding
  • Maintain organized and up-to-date filing system
  • Provide service to employees and departments in resolving any payroll-related issues
  • Review all output for accuracy of payments generated
  • Sort and organize output for distribution

Job Requirements

  • Associate’s Degree or higher, equivalent work experience may be considered, CPP designation is a plus
  • Three to five years payroll processing experience in a high volume, multi-state environment; in-house payroll processing experience is preferred
  • Working knowledge of wage and hour regulations as well as federal, state and local payroll tax withholding
  • Proficiency using payroll software, Banner software knowledge is a plus; excellent data-entry and auditing skills; intermediate Microsoft Office skills
  • Excellent customer service and problem resolution skills
  • Excellent verbal, written and personal communication skills
  • Ability to work independently, follow through on assignments and complete tasks in a timely manner
