Introduction

Purpose: / To prevent unauthorized user access to computing devices within the scope of this procedure and ensure compliance with the OU Computer Logoff/Lock Policy, as well as state and federal regulations that require safeguards for computing devices that contain or provide access to sensitive information.
Scope: / The scope of this procedure includes all OU Physicians (OUP) employees and authorized business associates who use computing devices in conjunction with the OUHSC network, as well as the devices themselves.
Definitions: / Sensitive Information – Any information classified/identified in University policies or procedures as confidential, internal, or Electronic Protected Health Information (ePHI).

Process

Role / Responsibility
OUP IS / Prior to deployment of any supported machine, performs initial configuration to meet OU automated logoff or lock standard (activated following 10 minutes of inactivity).
OUP MANAGER / Sets expectation of policy adherence and communicates/ periodically reinforces policy to all employees in his/her business area, both in writing and verbally in department meetings.
USER / Ensures that initial configurations are not altered. Maintains compliance with the logoff/lock policy by locking or logging off the computing device whenever it will be left unattended.

Step / Instruction
Locking an OUHSC Network Computer
1.  3 / Depress <Ctrl>, <Alt>, and <Delete> simultaneously
2.  4 / Select Lock Computer
Unlocking an OUHSC Network Computer
1.  3 / Depress <Ctrl>, <Alt>, and <Delete> simultaneously
2.  4 / Enter your user name (userid) and password
Logging off an OUHSC Network Computer
1.  3 / Depress <Ctrl>, <Alt>, and <Delete> simultaneously
2.  4 / Select Log Off…
3.  / Ensure successful logoff before leaving the computer
Locking, Unlocking, and Logging Off Other Computing Devices (procedures can very from device to device)
1.  / Refer to the device’s owner’s manual for specific instructions
2.  / Consult with OU Physicians Information Systems (OUP IS) as needed
