School - Library Instruction Sheet

Typical day
-Log on, and select book(s) to read to classes
-For each class:
  • Check in books, renew requested books, and create overdue report
  • Read to class, and review overdue report
  • Help select books, and check out books.
-Shelve books.
-Tidy shelves as required.
-Write a report of your day and note any issues that need to be brought to LSS’s attention.
-At end of day, log off, and lock the library

Log onto computer

-Turn on the computer

-Username:______

Log onto Insignia (software we use for managing our library)

-From desktop, click on IE icon Insignia, or go to

-Username: dutytschoolprovincialnumber

-Password: duty

Check in books

-Click on check-in icon,

and the check in screen appears.

-Click in the white box next to Scan barcode

-For each book:

  • Scan, and watch that it appears correctly at the bottom of the check in screen.
  • WATCH OUT for messages, such as:

Barcode is invalid / Barcodes sometimes don’t scan properly, try again. If still doesn’t work, set aside to be fixed.
Book is from another HRSB school. Set aside to be mailed.
Book is from the public library. Set aside, or ask that class for the owner.
Book was marked as lost / Write a note to the LSS with the book title, barcode, and the patron’s name if known.
Book was Reserved / Set the book aside with a note with the next patron’s name, and homeroom. If you do see the patron that day, do tell them.

Check in temporary items (e.g. magazines)

-Click on Circulation in the top menu

-From the selection that appears, hover over List

-From this selection that now appears, click on temporary list.

-Click on box next to items to check in.

-Click on Check in

-Click on Close when done.

Renew items (Patrons place a Please Renew this book notice in their books before sending to the library).

-Click on Circulation in the top menu

-From the selection that appears, click on Renew

-For each book being renewed:

  • Scan the book
  • WATCH OUT for messages, including

Book has been renewed too often / - If you think the book is being read, go ahead and renew it again, using the override code ils123.
- Set the book aside and speak with patron, and suggest that they try a different book.

Overdue reports

-Click on Report in the top menu.

-From the selection that appears, click on circulation.

-Click on Items in Circulation as the report type.

-Check Include checked out items

-Check Due date to, and ensure the date has today’s date.

-Select the appropriate homeroom

-Click on Preview. The report will appear in a new screen.

-Print the list.

Search for items

-Click on Search in the top menu.

-From the selection that appears, click on advanced; If you are doing a simple search of a title, click on simple.

-Enter the information of the search, and click on Find.

NOTE: There are many tricks to searching, so experiment on what works best. Try to not be too specific, but be specific enough. Be careful of misspelling, and be aware of differences in American and Canadian spelling.

HomeroomCheck out

-Click on the Homeroom check out icon

and the homeroom check out screen appears

-From the pull down box, select the appropriate homeroom.

-For each student:

  • Click on the patron’s picture (or box on top of the name)
  • Check that the cursor is on the empty box when the barcode number appears.
  • Scan each book.
  • WATCH OUT for messages, such as:

Patron has too many books out. / Often seen if they didn’t return all their books. Patrons should return all their before they can take out a book, but exceptions can be made. For exceptions, use the override code.

-Click on the red X in the top right corner of the Homeroom check out screen when done. OR, wait for the next class, and select that homeroom from the pull down menu.

Check out temporary items (e.g. magazine)

-From the homeroom screen, click on the patron.

-Click on the temporary box; a temporary check out screen appears

-For each magazine that this patron is checking out:

  • Click on New
  • Enter a short title (e.g. NGK would work for National Geographic Kids), and the issue number.
  • Click on Barcode, and enter the number from the sticker on the magazine (e.g. 513)
  • Selectmagazine as the circulation type.
  • Click on Save.

-When done, click on Close.

Put a book on reserve

-Click on Circulation in the top menu.

-From the selection that appears, hover over check out.

-From the selection that now appears, click on Reserve. The reserve screen appears.

-Click on Find Patron, and search for the patron, and click on that patron.

-Click on Find, to find the book, and search for it.

-Click on the found book.

-Click reserve.

-Click on the red X in the top right corner of the reserve screen.

New patron

In the sub report, leave the following information for the LSS to enter the information into Insignia:

-patron first and last name

-homeroom class

-Barcode and title of book(s) being checked out during that visit.
