#KEYCHANGE PROJECT MANAGER

Job title:#Keychange Project Manager

Reports to:Vanessa Reed, Project Director & CEO of PRS Foundation

Hours:3 days per week, 10.00 – 18.00

Duration:June 2017 to June 2019

Salary: £30 000 (FTE); Average 3 days per week (will require flexibility in

accordance with project timetable and requirements)

Location: Based at PRS Foundation Office, Kings Cross, London; international

travel required. Some working from home is also possible.

Role summary: Manages planning, delivery, communications and evaluation of the EU funded project, #Keychangewhich aimsto support the creative and business development of talented women in the music industry and accelerate the industry’s recognition of women’s potential artistic and economic value.

Key Tasks

Project Management & Co-ordination

  • Oversee partners’ implementation of activities to ensure successful delivery of project plan to meet overall objectives
  • Manage recruitment of 65 #Keychange participants by coordinating nomination process in UK, overseeing partners’ nominations from across Europe and preparing applications for selection panel with partners in September 2017
  • Organise and attend all partner meetings (both virtual and face to face), liaise with relevant host partner, oversee logistics, agree agenda with all partners and take minutes, circulating within one week of the meeting
  • Attend and ensure effective delivery of #Keychange events at partner festivals by monitoring #Keychange programmes/plans & helping to facilitate group activities
  • Monitor project progress against agreed targets and timetable, via partner meetings, overseeing evaluation process with participating artists and industry professionals and via contact in between these meetings as necessary
  • Prepare reports to European Commission/PRS Foundation Board as required and prepare all materials for final reporting at end of project
  • Oversee management of final advocacy event at European Parliament, Brussels (planned March 2019)
  • Minimise project risks, reporting any risks to Project Director & partners in time for corrective action to be taken.

Partner support

  • Act as day to day contact for relevant #Keychange partner staff and assist with enquiries from #Keychange participants
  • Support partners’ timely delivery of #Keychange Creative Labs, Showcases and Panel discussions via agreed project plan and dates for sign off and comms
  • Manage contract with external agents (e.g. for brand, PR/podcast strategy & website creation)
  • Manage allocation of bursaries from “Innovation Fund” on behalf of partners and coordinate selection process for pitches submitted

Communications and Digital Tools

  • Oversee project communications strategyincluding partners’ successful delivery of press launches/receptions
  • Regularly update the project website and digital content generated by#Keychange network participants with guidance from freelance expert
  • Manage PR and involvement of #Keychange Ambassadors with input from PRSF Comms Manager and #Keychange partners
  • Support development of digital platform required to meet project objectivesoversee partners’ developmentof regular local content
  • Implement and monitor project branding & funder acknowledgements
  • Oversee partners’ promotion of the digital platform and network at local level
  • Identify and respond to opportunities which could enhance the reach and scope of the project locally and across Europe
  • Represent the project with confidence to EU and in range of different European settings (with Project Director & partners)

Finance

  • Manage & monitor #Keychange budget in accordance with plan agreed
  • Oversee all financial reporting to European Commission by overseeing partners’ and participants’ reporting on travel, accommodation, artist fees and all other aspects of project implementation
  • Assist with fundraising where possible and required

Experience, Knowledge, Skills and Qualifications
The post holder must have the following:
  • Experience of coordinating multi-partner projects, ideally across Europe, with EU funding and in a cultural setting
  • Experience of financial management and administration on complex multi-partner projects, ideally those financed with Creative Europe or other EU funding, ensuring budgets are monitored and adhered to and all documentation is collated for EU reporting
  • Experience of digital comms including website updating, social media PR and marketing and proactive approach to internal and external project communications
  • Experience of project evaluation, monitoring project delivery and reporting against funder specified outcomes
  • Proactive coordination and team-working skills, able to self-motivate and lead partners towards a shared goal
  • Ability to resolve conflict between project partners
  • Knowledge of accounting processes and principles
  • Ability to master new and innovative solutions required by the project, especially in relation to the digital platform /online training content to be developed
  • High level and demonstrable organisational skills
  • Ability to represent the project, deputise for the Project Director, generate PR and raise the project’s profile on behalf of all partners
  • High level administrative skills and attention to detail
  • Current passport
It would be advantageous for the job holder to have the following:
  • Knowledge and awareness of the music sector in Europe and the challenges facing independent artists and the music industry in general
  • Use and understanding of digital tools which support learning networks (e.g. Google docs/coordination of large scale networks)
  • Understanding of how European Parliament operates and experience of advocacy events organised in Brussels
  • Experience of changing business models in the music industry and awareness of role of digital partners such as Spotify and Ableton
  • Experience or knowledge of relevant project management software and packages
  • Language proficiency in other languages relevant to the partnership
