Job Title: Project Coordinator (events and supporter services)

Accountable to:Events Manager

Location: Toilet Twinning Office, 1054 Christchurch Road, Boscombe East BH7 6DS

Full Time: 9am to 5pm with an hour for lunch. Unsociable hours and weekend working will be required for this role.

Salary:£16,500 - £19,500

Core Tasks:

1. Undertake tasks to help support the events team in the run-up to the events season (Spring Harvest in April to David’s Tent in August)

- Research options and deliver logistics of events: accommodation, travel, van hire

- Maintain regular communication with event volunteers in the lead up to events

- Prepare all events stock for each event and help load van for each event, and unload afterwards

- Attend up to 3 events during the festival season (events can be from 3 days to 2 weeks long). Note: This will involve driving a van, lifting boxes with stock, setting up banners and flexistands, and being the on-site team leader during the event. Some events involve camping.

- Input data into the orders system following each event

- Co-ordinate and manage events stock – maintaining a digital catalogue of stock levels and locations

- Creating, printing and framing up to 1,000 certificates for the events season.

2. Undertake tasks to support the delivery of a fundraising dinner in London for World Toilet Day (November) and other associated events

-Oversee registration and pre-event communication

-Liaise with suppliers - local council, venue staff etc

-Coordinate audio visual requirements and staging

-Deliver logistics - ie volunteers, catering etc

3. Work in the Supporter Services team at key periods. Duties will include:

-framing and preparing orders ready for dispatch

-entering postal orders on to the fulfilment system

-answering the telephone

-sending out resources

-responding to supporter emails

4. Undertake tasks within the Donor Care aspect of Toilet Twinning

-eg. provide support for online fundraisers using charity sites such as Just Giving and Virgin Money Giving

5. Regularly update budgets with department spends

6. Ensure key staff members are kept updated regularly, i.e. weekly meetings/emails

Key considerations:

●Some physical activity required

●You’ll need to hold a full driving licence and drive a van to and from events

●Annual leave will not normally be permitted during core event periods (especially April, July and August, and early November)

The Project Coordinator may also be required to undertake other activities as deemed appropriate by their line manager or the Leadership Team, to support activities that contribute to the growth and sustainability of Toilet Twinning
