SUMMARY OF JOB

Reporting to the Director of Development and working collaboratively within a talented and motivated development team, the Development Accounts & Database Manager is responsible for managing the member/donor module of the Audience View database, ensuring proper and consistent entry and maintenance of all data related to external relationships and memberships. Additionally this position is responsible for the management of all restaurant partner benefits fulfillment, sponsorship benefits fulfillment, grant tracking and fulfillment, prospect management, in-kind usage of $100,000 of in-kind gifts or services, and departmental financial and administrative tasks (as assigned). Fosters and supports a culture of philanthropy across the organization.

The person in this role must consistently project an enthusiastic, positive approach that contributes to a collegial and closely knit organizational culture. The ideal individual has the ability to work collaboratively with staff (across all departments); be comfortable working directly with current and prospective donors; possess superior attention to detail; and has strong written and verbal communication, administrative, and organizational skills. This position requires regular night and weekend work staffing the Founders Room and other special events.

Duties and Responsibilities

  • Primary responsibility for ensuring proper and consistent data entry, exports, list pulls, conversion, protocols and procedures for effective management and use of data in the Audience View donor module/database
  • Maintain a working knowledge of the database and inform staff of changes or updates as needed
  • Participate in user group meetings and provide expertise as it relates to the AV donor module
  • Build, manage and maintain all AV reporting and list pulls, create new reports as needed by development
  • Generate analytic and metric reports weekly and monthly on member/donor giving and in-kind donations
  • Establish guidelines and standard operating procedure for data entry; provide institution wide support for the development module of the database; ensuring guidelines are always up-to-date
  • Maintain a user’s manual for institution-wide use on gift entry and donor data
  • Work closely with IT and Accounting departments to ensure the overall integrity, functionality and security of the database and the data stored within it.
  • Through regular maintenance (list pulls) and working with the appropriate staff member, ensure all donor program listings/signage, etc. are up-to-date
  • Primary responsibility to ensure the usage of $100,000 of in-kind gifts or services for BPA budgeted purposes to meet annual goals. Request in-kind usage from restaurant partners. Ensure in-kind processes are followed by all departments
  • Manage VIP Dinner Packages: identify shows and restaurants; seek approval and set-up with appropriate departments; serve as liaison with partner restaurant
  • Manage and track all restaurant partner and sponsorship fulfillment. Use this system to work with and remind both the sponsor (external contact) and the appropriate BPA department/staff member to ensure all needs/benefits are met for each sponsor.
  • Track all grant timelines and reporting, as awarded, to ensure all deadlines are met. Manage grant reporting, demographics, etc., and assist on grant applications, as assigned. Grants include but are not limited to: Arts & Science Council, North Carolina Arts Council and others as awarded
  • Provide prospect management for the development department; and set up new records for prospects to support moves management practices
  • Provide occasional prospect research profiles
  • Prepare monthly contributed income board reports for VP and CFO approval
  • Serve as primary departmental liaison with Finance department to ensure proper crediting and reconciliation for all contributed income (restricted and membership) and departmental expenses
  • Coordinate key events including but not limited to: Broadway Lights Sponsor Lunch and Learns, Board Annual Meeting
  • Shared responsibility for the member concierge line. Provide courteous, accurate, and personalized customer service to Blumenthal Performing Arts’ high level donors and trustees in securing tickets, exchanging tickets, renewing season tickets and selecting seats for productions in Blumenthal facilities.
  • Contribute to overall team effort in planning and development and share in the decision making process, implementing and promoting all decisions in a spirit of cooperation
  • Assist in departmental functions including but not limited to the Founders Room during Belk Theater Broadways, as well as other special events throughout the year
  • Other duties as assigned

EDUCATION/TRAINING

Bachelor’s Degree

SKILLS/EXPERIENCE

  • Three to fiveyears database management experience, donor services, and/or fundraising experience, preferred
  • Proven ability to organize information and develop tracking systems
  • Strong computer skills required with intermediate proficiency in MS Word, Outlook and Excel programs required
  • Ability to multi-task, prioritize, and manage multiple deadlines simultaneously
  • Possess strong interpersonal skills and exhibit exceptionally high standards of customer service and team-centered attributes
  • Ability to work in a fast-paced environment with strong attention to accuracy and detail
  • Experience working with a wide range of personalities; exhibits a high degree of tact and diplomacy
  • Self-starter who creatively solves problems
  • Ability to treat information with the highest respect for confidentiality
  • Genuine interest in the performing arts
  • Availability to attend and assist with evening and weekend events
