Dear Sir,

Sub: INVITATION FOR QUOTATION FOR “Solar lamps”

1.You are invited to submit your most competitive quotation for the following goods.

1. LED solar Home power systemwith 3 lights (1W each) and separate ON OFF switch.
2. 5W panel
3. USB Mobile charging port.
4. Li-ion battery; 7.4V (at least 5200 mAh)

1. 10 hours charging time (approx.)
2. Indicators for low battery, charging, full charge and output ON.
3. Overcharging protection and in build charge controllers for battery
4. Weight less than 2kg.

1. Transportation up to site mentioned
2. At least 1 year replacement warranty
3. Lamp and panel to be separate, with at least 2 meters wire of suitable gauge

1. The vendor should provide the product in de-assembled form and should train the participants under the ‘people’s enterprise’ (located in Jawhar, Maharastra) for assembly of these parts, (including soldering if required). The enterprise members should be trained for assembly, troubleshooting and maintenance of this home lighting system. The training expense need to be included in the quote mentioned above.

2.Bid Price

a)The contract shall be for the full quantity as described above. Corrections, if any, shall be made by crossing out, initialing, dating and re writing.

b)All duties, taxes and other levies payable on the raw materials and components shall be included in the total price.

c)GST in connection with the sale shall be shown separately.

d)The rates quoted by the bidder shall be fixed for the duration of the contract of 6 months and shall not be subject to adjustment on any account.

e)Delivery and Transportation at bidder’s cost

f)The Prices shall be quoted in Indian Rupees only.

3.Each bidder must submit only one quotation for one product. Parties wishing to apply for two separate products may do that by giving one quotation for each of the products they wish to quote for.

4.Validity ofQuotation

Quotation shall remain valid for a period not less than 90 days after the deadline date specified for submission.

5.Tender fee

Tender fee will be Rs. 200/- per quotation, which needs to be submitted along with the quotation.

5.EMD

EMD will be 2% of bid amount which will be refunded after delivery of material / completion of work.

5.Evaluation of Quotations

The Purchaser will evaluate and compare the quotations determined to be substantially responsive i.e. which

(a) are properly signed; and

(b) conform to the terms and conditions, and specifications.

The Quotations would be evaluated for all the items together.

Sales tax in connection with sale of goods shall not be taken into account in evaluation.

6.Award of contract

The Purchaser will award the contract to the bidder whose quotation has been determined to be substantially responsive and who has offered the lowest evaluated quotation price. The quotations should include GST

6.1Notwithstanding the above, the Purchaser reserves the right to accept or reject any quotations and to cancel the bidding process and reject all quotations at any time prior to the award of contract.

6.2The bidder whose bid is accepted will be notified of the award of contract by the Purchaser prior to expiration of the quotation validity period. The terms of the accepted offer shall be incorporated in the purchase order.

6.3Purchase would be made in stages and multiple POs would be released, wherein each PO would be given to the selected bidder for 150 pieces of product selected. Next order shall be placed upon successful execution of first batch and based on feedback of the user.

7.Payment: The payment will be made after delivery of products (no advance) Payment shall be made by cheque / electronic transfer.

8.Normal commercial warranty/ guarantee shall be applicable to the supplied goods.

9.You are requested to provide your offer on or before 19th Aug 2017in the name of BAIF Development Research Foundation only.
