Instructions for CSSWeb Firm Migration

NOTE: If you do not follow this instructions you will have to manually re-enter all of yourinventory information (firm offices, project inventories, salary roster).

Overview

The Department is implementing a Web application that will replace the Inventory and EOI programs that consultants have installed on their personal computers. This migration is to upload all inventory information in the CSSWeb view application. The 90 day rule, regarding inventory submittals, will still apply to the CSSWeb migrated inventories. All firms must make a special one time submission from the existing New York State Department of Transportation Consultant Selection System Inventory Access application.

No later than January 20, 2005.

Each firm will have access to their information by using a password.

In order to transfer the existing Electronic Inventory information from the firm’s pc to the new CSSWeb application all firms must follow the instructions in this document. (Instructions follow).

This will require each firm to:

  • Create an administrator account for the new CSSWeb application
  • Make a special e-mail submission from the existing Consultant Selection System Inventory application.

The submission must include all submission types (General Firm, Salary Roster, Construction Inspection Inventory and Design Inventory).

Firms that maintainseparate Roster information and need to submit a separate Roster submission must inform Diane Harris at .

The inventory.txt files must be ZIPPED. (To ZIP files right click on the file and select WINZIP file, add to ZIP file)

The submittal files should contain the New User Name and the zipped inventory.txt file

Please complete the following stepswhich will result in an email submittal to the Department.

Submission File Generation

  1. Open the Consultant Selection System Inventory Access application and select “Run Error Checks and/or Create Transmittal File” from the Main Menu.

2. Run General Firm, Salary Roster, Design Inventory and Construction Inspection Inventory error checking and correct errors, if present.

  1. Select General Firm Information, Salary Roster, Design History and Construction History and create the transmittal file.

Administrator Account Creation

  1. Visit the following web site, this link and paste into your browser address). Click the “Create Account” link.A security alert will be presented, click “Yes” to accept the certificate. Please use lower case for Usernames and passwords. Be sure to notate your username and password. Future visits to this page will require the USERNAME followed with @NYSDOT.

2. Please read the legal agreement carefully and click “Accept” to continue.

2. Complete the Create User Account form and press “Submit” to complete your Administrator Account Creation. (**Be sure to remember your newly create User ID and Password**).Please use lower case for Usernames and passwords.

Email the New York State Department of Transportation Contract Management Bureau

The final step is to email the Contract Management Bureau. The email should be sent to and must include:

1. The User Nameof the Administrator Account, that was created via the instruction in this document, in the From section. Please do not send the Password for the Administrator Account.

2. The subject of the email should read WEB.

3. In addition, thetransmittal file must beZIPPED and attached to the email.
