In Learning Caseload - Assessor Guidance

The purpose of the ‘In learning Caseload Report’ is to provide an accurate summary of your current caseload, showing progress and reflect the ‘in learning’ status against each of the Qualification Aims for your learners individually.

When will I receive my ‘In Learning Caseload Report’?

The report is issued (via email) by 9:00am on a Friday morning.

How is Progress measured?

Progress is measured by checkingwhether the main aim is on target progression and Functional Skills are on target based on the required milestones.

Where does the In Learning Caseload Report retrieve data from?

The data is pulled from PICs. Onefile progression andsigned Teaching, Learning & Assessment Plan (TLAP) are also included. All information on the ILC is accurate as of the close of the previous working day (Thursday).

How can I ensure that my ‘In Learning Caseload Report’ reads correctly?

  • Ensure that all aims in the OneFile portfolio have been activated by selecting the unit tab and saving each aim so it shows in the unit summary list in OneFile
  • Visit your learner every 4-6 weeks and complete aTLAP on each visit and ensure your learners sign them off
  • Ensure evidence is assessed ongoing holistically, against all possible units/aims to maximise the learners progression
  • Ensure functional skills milestones accurately reflect a true picture of the learners journey

What are my responsibilities as an Assessor when receiving the In Learning caseload Report?

  • To read and evaluate the information provided within the report.
  • Ensure all information within the report is accurate.
  • Report any inaccuracies to your Area Manager immediately in writing.
  • Enter visits planned for the following week in the ‘Next Visit Date’ column.
  • Enter forthcoming Functional Skills test dates in the “comments” column.
  • Save your In Learning Caseload Report to your U: Drive & email to your Area Manager no later than 10am on Monday morning.

How will the In Learning Caseload Report support me? The report will help manage your caseload to facilitate timely completions. Use you report to:

  • Plan sufficient visits to ensure each learner receives an ‘in learning visit’ every month whilst they are on programme.
  • Monitor each aim within a learner’s framework to ensure a timely achievement.
  • Highlight any inaccuracies of learner data so it does not impact on your performance evaluations.
  • Support the 1:1 process with your Area Manager – providing an accurate reading of caseload and progress for each learner.
  • Targeted and proactive support given to learners that require it.

Who else has responsibility within my ‘In Learning Caseload Report’?

Quality Assurer (QA): Your QA also has responsibility for checkingyour in Learning Caseload Report to ensure all claimed aims within the framework do not appear within the report or have the correct status. To ensure all overdue or due learners have been sampled & support visits completed where required.

Area Manager (AM): Your AM will review the returned report; ensuring all stated ‘Next visit dates’ reflect what is planned within yourOutlook Calendar. Support you in investigating inaccuracies and monitor visits, documentation & progress to ensure targeted delivery of support to prevent unfunded aims.

The ‘In Learning Caseload Report’ Explained

The ‘Assessor Dashboard’ gives an overview of information relating to key factors within your caseload.

The Report:

The ‘In Learning Caseload Report’ provides key information based on data the PICs system holds. Click here to find out what information is held in each column within the report (internet connection required!).

Tablet view:

You also can view the In Learning Caseload on your tablet. Open the email attachment with the Polaris application.

To maximize your view of the report:

  • Hold the tablet in landscape mode.
  • Zoom out by pinching the screen.

Please note the colour highlighting of datawill not be visible on the Polaris app. Take care to check the Learner Progression, Weeks Since Visit, Risk-band and Certificates Due columns for any which require attention.

Using Filters: (not available on Tablets)

You can use the filters on each column header to focus on specific information on the report.

Click any column headers filter icon to view the specificoptions available.

Use this example to try it out:

  • Click the ePortfolio filter icon.
  • Un-tick the eAssessortick box.
  • Click ‘OK’.

You should now only be able to see your Onefile learners!

The row numbers are now blue – this tells us that one or more filters have been applied.

Clearing filters:Simply click on the filter icon, and select the option to ‘Clear Filter From…’
