This guideline is to specify typing instructions in order for the Proceedings CD-ROM to be of the highest quality. Following are general instructions for manuscript preparation and submission. Many of these instructions are helpful in minimizing the file size. Since the proceedings will be published in PDF format on a CD, the size of the file is of more concern than the number of pages, although both are limited.

Preparation and Submission of Papers

After receiving notification of acceptance of abstracts, authors are required to prepare a full-lengthpaper of a total lengthof no more than twelve (12)pages(inclusive of all text, tables, figures and references). File size is a concern because of the need to accommodate all manuscripts on one CD. Paperswith many photos and/or scanned figures may result in files of very large size; the Conference reservesthe right to request authors to re-submit manuscripts for which the file sizes are deemed to beexcessive. The manuscripts should be prepared preferably as WORD files or as Rich Text Format (usefulfor LaTeX users).

The paper will be expected to be a complete treatment and presentation, with all the usual elements, of aself-contained scientific or technical paper. It should comply in structure and layout with the instructionsgiven below.

Contributions are accepted on the understanding that the paper is original and has not been publishedbefore. Submission of an article must be accompanied by a copyright transfer form.

After preparation, the paper should be submitted in one package as electronic file using an uploadingprocedure. Authors will be informed for the details of the uploading procedure. The submission shouldinclude the full paper (both in MS Word and PDF format), the one-page extended abstract (both in MSWord and PDF format) and the contact information form. These items should reach the Conferencesecretariat by July 30, 2010. Please note that the submitted papers will be reviewed forscientific/technical merit and checked for compliance with preparation instructions; Authors may berequired to re-submit amended papers following this process. Authors will be called to submit thecopyright transfer form during the final submission process (May 30, 2010 at the latest).

How to start

This zip-file contains:

a)Guide for Authors of the 5th ICEGE (5ICEGE_Author_Guide.pdf)

b)Document template for MS-WORD for Letter paper size (5ICEGE_PaperLtt.doc).

Open the paper template file (5ICEGE_PaperLtt.doc) by double clicking. Do NOT open it by using WORD’sopen command!

Start saving the file as a standard WORD document and name the file as follows: first four digits of youpaper ID number and after an underscore the first three letters of the family name of the correspondingauthor.

For example: DINAMIC RESPONSE OF AN EARTHDAM IN BIO-BIO REGIONCONSIDERING

AM=8.8EARTHQUAKE, by

JuanPEREZwith ID number: 1008 and corresponding author: PEREZmust be saved as 1008_per.doc.

Page size

Please note that the layout of all sections has to be one-column for full paper. This means that only theone column layout is acceptable for publication. Adjust the margin settings by clicking Document underthe Format menu. Letter size paper:

Layout

Authors should use the style tags prepared by the publisher in the MS WORD template files. Thesestyle tags specify the correct font and style for each paragraph, and can be selected from the formattingtoolbar. In MS Word 2003 select Format->Styles->Formatting->Formatting in Use.

To open the formatting toolbar, select format in Toolbar option of View menu. Here you will find all tags.After a “Title of paper” use the "Authors” tag and continue the following paragraphs by using the tag"Body text".

Use the style tag “Figure caption” where you want to insert a figure/picture.

Please print the sample PDF. When you have any doubts on the layout, just have a look at this exampleof how the paper’s layout should be. (See also for the style tags: Appendix)

Structure

Please adhere to the following order of presentation: Title, Author(s), Affiliation(s), Abstract, Keywords,Main text, Acknowledgements, Appendices, and References.

The title should be written using the “title of paper” tag, so all letters should be capitals,and no fullstop (“.”) at the end of the title.

Titles or occupation and affiliation are filled, only in the footnote of the first page.

Corresponding author(s)

The name, title, postal address, telephone number, fax number and e-mail address of the correspondingauthor should be given to the conference secretariat. Please fill in the contact information form on thelast page and send it together with the paper and the completed copyright transfer form to the NationalSocieties.

If possible, also provide details of the other authors, especially if the corresponding author is planning tobe away for a period when the manuscript is under review or in production at the Publisher.

Keywords

Authors should supply their own keywords (4-6) in one line. The keywords will be used for making aKeyword index.

Abstract

The abstract should be readily understandable to most readers and may contain up to a maximum of 250words.

References

References are not allowed to be footnotes. References to other work in the text should refer to theauthor or authors and the year of publishing. References should be listed in the reference list, whichshould be in alphabetical order.

For example: (Author, 1945) or (Author1 & Author2, 1978)

By three or more authors: first author and et al.

For example: (Author1 et al., 2004)

If several works by the same author are cited, entries should be chronological and if there are more thenone references of the same year you should add a, b etc. in the reference and corresponding referencelist.

Superscripts and subscripts

Use your word processor's super- or subscript formatting tool to create superscripts or subscripts, respectively. DoNOT change character position or kerning manually to create super-/subscripts.

Special characters and equations

Use your word processor's equation editor to create equations in your document, or use Symbol orGreek fonts to create other special characters.

Tables

Please use your word processor's table formatting function to create tables. Do NOT use spaces to createtables or do any sort of text layout, as with small differences in fonts or printer drivers, spaces maychange size and will not necessarily appear the way you originally intended; with small differences infonts or printer drivers, spaces may change size and will not necessarily appear the way you originallyintended. Place the table caption (table number and title) in bold face and centred immediately aboveeach table using the tag: “TableCaption”. Tables are to be numbered in sequence and placed within thetext after the paragraph in which they are first mentioned.

FIGURES: Illustrations and diagrams

  • All images and graphics should be embedded (not linked) in your document.
  • Number figures consecutively in the order in which reference is made to them in the text, makingno distinction between diagrams and photographs.
  • Please ensure that all figures are of the highest quality. Photographs must be scanned at leastat 300 dpi. When outputting images from photo editor programs, use a resolution of 300 dpi. Avoidgray areas; use cross-hatching instead, if possible. Use colours, but remember that when printed inblack and white, different lines or areas may not be distinguishable if colour density is the same. Usedifferent line styles or crosshatching in combination with colours when creating any objects.
  • Fonts in the figures must be embedded.
  • Line drawings should be clear and uncluttered. Please note that texts must still be readable after areduction to 75% of the original size. For readability, 9 pt. should be the minimum size of lettering.Lines should be at least 0.2 mm (0.01’’) thick.
  • Leave about one line of space between the actual text and figure (including caption).
  • Do not place figures/tables sideways on a page. If this cannot be avoided, no other text (except thefigure/table caption) should appear on that page.

Equations

Use the equation editor of the selected word processing program. Equations are not indented. Numberequations consecutively and place the number at the end of the line, between parentheses. Refer toequations by these numbers.

Save

To avoid problems with the font and mathematical equations, you have to embed the font.

For Word: go on the taskbar to Extra click on Options and go to Save mark the Embed Truelettertype.

Don’t forgetto embed the fonts also in the figures and tables.

Electronic text of manuscripts

The 5ICEGE secretariat requires an electronic version of your manuscript. We prefer to receive them in both MS WORD and PDF formats. The submissionshould include the completed contact information form. Please check the electronic file beforesubmitting it. In case you prepare your paper in LaTeX a high resolution PDF with all fonts embedded isrequired or a Rich Text Format file.

After preparation, the paper should be submitted in one package (preferable in a zip file, for uploading inthe conference web site The zip file must contain the following files:

1) The Conference paper (for example 1008_per.doc and 1008_per.pdf).

2) The corresponding author contact information form (1008per_aif.doc)

The above items should reach (by uploading the files into conference’s web site) Conferencesecretariat by July 30, 2010.

The format of sub headers should be bold and leftjustified. Do not leave a blank line between thesubheading and the following text. If on the rareoccasion the sub-subheadings are needed they shouldbe formatted as follows with a blank line before the sub-subheading.
