Exhibiiton Host Contract

2006-2007 SOUTHERN CIRCUITHOST ORGANIZATION AGREEMENT

This Host Organization Agreement (“the Agreement”) is entered into on August 1, 2006by and between the Southern Art Federation, Inc. ("SAF”) and Arts Council of BeaufortCounty(“the Host Organization”).

WITNESSETH:

WHEREAS, SAF sponsors a program entitled Southern Circuit, the program in which the works of independent media artists are exhibited in a tour to various locations; and

WHEREAS, the Host Organization desires to exhibit these artists’ works in its community;

NOW, THEREFORE, in consideration of the mutual covenants and promises contained herein and other good and valuable considerations, the parties hereto agree as follows:

  1. The Host Organization shall secure from SAF the media arts tour entitled Southern Circuit from September 1, 2006 – May 1, 2007 for a tour fee of $4,250. This includes artists’ travel, per diem, screening fees, and administrative expenses.
  1. The Host Organization must sign and return this Agreement within 30 days of receipt. Failure to return the signed Agreement may result in possible forfeiture of the tour.
  1. An invoice for the tour fee accompanies the Agreement. Payment is due in full upon its signing and return to SAF.
  1. In the event this tour is canceled by the Host Organization after the Agreement has been signed and more than thirty (30) days before the first media artist’s screening, the Host Organization is responsible for fifty percent (50%) of the tour fee. If the cancellation is within thirty (30) days of the first media artist’s screening, the Host Organization is responsible for one hundred percent (100%) of the tour fee.
  1. SAF will notify and consult with the Host Organization as soon as possible in the event of any cancellation by a media artist.
  1. In the event that a screening cancelled by one of the Southern Circuit artists cannot be rescheduled, a portion of the tour fee will be returned to the Host Organization at seventeen percent (17%) of the fee per cancelled screening.
  1. SAF and the Host Organization shall perform the respective duties outlined in Attachment A of this document and through such methods as each deems necessary and proper.

IN WITNESS THEREOF, the parties hereto have executed the Agreement on August 1, 2006.

In respect to the 2006-2007 Southern Circuit, SAF shall provide the services as follows:

  1. SAF will contract with six (6) visiting media artists for the Southern Circuit. The tour’s schedule for the Host Organization’s locale may be found in Attachment B.
  1. SAF will provide the Host Organization with an itinerary listing all travel arrangements for each of the media artists on the tour.
  1. SAF will provide the Host Organization with general publicity materials for each Southern Circuit program.
  1. SAF will administer the overall Southern Circuit budget.
  1. SAF will provide the Host Organization with information and consultation on program matters concerning the Southern Circuit and its media artists.

In respect to the 2006-2007 Southern Circuit, the Host Organization shall perform the services as follows:

  1. The Host Organization will coordinate on-site screenings and audience discussions for six (6) Southern Circuit visiting media artists at the Host’s exhibition site.
  1. The Host Organization will identify a local contact person for the exhibition site who will act as a liaison with SAF.
  1. The Host Organization will provide advance publicity and promotion for each of the six (6) Southern Circuit programs in the Host’s locale, including but not limited to: print media, online media, radio and television.
  1. The Host Organization will provide a qualified projectionist for each of the six (6) Southern Circuit programs as well as clean, well-operating projection equipment.
  1. The Host Organization will provide hospitality, excluding food and lodging costs, for each visiting media artist during his/her exhibition period.
  1. The Host Organization will notify and consult with SAF in the event of problems with screening equipment, facilities or logistics.
  1. The Host Organization will provide $1,000 of the Host’s own funds to be applied toward publicity and promotional costs and, as necessary, toward those provided services such as a projectionist, rental space, or clerical, maintenance and security time.
  1. The Host Organization will provide transportation for each visiting media artist to and from the local airport or to pick up a rental car during his/her exhibition period.
  1. The Host Organization will make arrangements for economical overnight accommodations for each visiting media artist during his/her exhibition period. If said arrangements require a reservation, the Host Organization will make the reservation, and the artist will be responsible for paying the accommodations on-site with the per diem provided by SAF.
  1. The Host Organization will assume responsibility for replacement of films, videotapes, or DVDs provided by the media artists on the Southern Circuit in the event that said films, videotapes or DVDs are damaged or lost by the Host Organization or the Host’s agents.
  1. The Host Organization will complete an evaluation form provided by SAF for each of the six (6) Southern Circuit programs within a thirty (30) day period following each program. Said evaluation form will ask for attendance records, media coverage and other pertinent information for each program.
  1. The Host Organization will provide a written itinerary for each media artist upon arrival. The Host Organization will send a copy of said itinerary to SAF prior to the artist’s arrival.
  1. The Host Organization will promote and publicize SAF as the owner of the Southern Circuit program to local media, print and electronic, and to participating schools, organizations and concerned citizens.
  1. Such promotional efforts shall include displaying clearly and prominently the Southern Arts Federation’s logo and name in print or electronic advertising, etc. in larger print and before or above the names of all other contributors or sponsors of the local program.
  1. Any printed materials must contain the following credit line: “The 2006-2007 Southern Circuit is a program of the Southern Arts Federation in collaboration with the South Carolina Arts Commission” displayed in visible manner separate from other printed copy.
  1. Any broadcast transmissions, including but not limited to commercials, public service announcements or interviews must also contain the statement: “The Southern Circuit is a program of the Southern Arts Federation, a not-for-profit regional arts organization making a positive difference in the arts throughout the South since 1975.”
  1. All print and broadcast press promotions of the Southern Circuit must be approved in advance by SAF.
