Check-in on Last Week’s Tasks:

Still:

o  Need agreements

o  Need goals grid filled out

o  Need sponsorship tracking document filled in

o  Need to get in touch Hands On Networks and America Votes

Alex – talked to NAACP, Black Youth Vote YP4

*Individual (v. mass outreach) outreach helpful

Local Venue Updates:

o  New Era Colorado secured Gothic Theater

o  New Mexico – close to securing big place

o  Seattle – very close to locking down local warehouse space.

o  Portland – close

ToV Video Update

o  Alex sent out sample clip

o  Concept: monsters talking about trick or vote – use examples of what we are thinking for celebrities to do clips as well

Social Networking

o  National pages listing local events and link to trick or vote website

o  Idea to have monsters from video have facebook pages – could be Trick or Vote’s top friends.

o  David and Alex meeting with contact who makes facebook applications.

o  Visual thing on everyone’s profiles plug poking option.

Credo Mobile

o  Proposal due by next call

o  Look into other options by next call

Fundraising

o  Communications grant – will apply some funds to trick or vote related activities.

o  GenVote will make a contribution asap

o  Jefferson and Sam will connect Friday or Monday

o  Ian developing updated proposal

Sponsorship

o  Really want to start with big guys first

o  Money first then in-kind trade

o  Teaser sponsorship pics went to list so far – generic email – later personal email

o  Ben and Jerries, red bull, apple, cricket – Summer reached out personally

o  Jefferson got invited to speak to Wieden Kennedy – Ad Agency – will pitch TOV

Organizing Steps:

o  Important to have a vision for the final product when planning

Location:

o  Decorate venues spookily

o  Central sign-in table very large –e.g. 15 tables

o  Don’t pick a space so large won’t fill it roughly comfortably

Captains:

o  Three training sessions. They have module for what training looks like. Between 50 and 100 people at each training. Need at least 150 people trained before hand.

Sign-in:

o  Predict how many people you want. How many people per minute you can sign in. How many signer-inners you want to reflect amount of time you want to take to sign people in.

o  Get a little sticker that corresponded to the group they are assigned to. Captains holding up sign that corresponds to group. Ghosts, monsters, etc thematic.

Pre-rally:

o  A speaker that will draw people. People to do training. Things you want every single group to hear. Get people excited. Make it interesting.

o  Small group trainer makes sure everyone has their bags with all their resources and can explain all the tools to them

The Walk itself:

o  Two trainers can each have cars and can take people out.

o  Might want to have eggs or apples or candy so if canvasser comes to the right door they win a prize

o  Lots of greeters (like marathon end) for when people come back from their walk. Some little prize. And everyone gets free ticket to the concern. Best if at same location.

Event:

o  Soft concert start cuz people will return at different times, e.g. bobbing for apples, kissing booth

o  Have the party for non-walkers also (recommended) for a fee. This makes party bigger and gives more incentive for trick or voters.

o  Collecting peoples turf – clip boards, etc so orderly.

Challenges with day:

o  Really want to do it on Halloween day – its on a Friday so don’t want to do it after Halloween and full weekend before too son. Challenge of doing on a week day is don’t have a full day. Ideas:

o  Do it in two shifts – earlier and later for people who can come after school and people who can come after work

o  Might have house party kits etc to make trick or vote work on days leading up to Halloween.

Miscellaneous, Questions, etc.

o  Helpful to get city list together asap – as concrete as possible – not necessarily campuses but cities will appeal to sponsors and funders.

o  We should have longer conversations with groups working on the group organizing these things

o  How is model adaptable to campus environment? How does it change if much smaller event?

o  Go big, but keep your promises.
