Terms and Conditions for Claiming Travel Expenses

  • Reimbursement of travel expenses will be available to teachers from state schools and current trainee teachers attending an Education Service Teacher Training event at Parliament, when they make their booking through Parliament’s Education Service. It is not available for visits arranged directly through Members of Parliament or for ad-hoc teacher training events arranged by a school/LEA/university.
  • Travel costs will be reimbursed (minimum claim £8 and maximum claim £150) excluding car mileage, taxi fares or parking.
  • A state school is defined as one listed as such on the Edubase database for England, the NGfLCymru database for Wales, Scottish Schools Online, or the Northern Ireland Government Department of Education institutes database.
  • Reimbursement is only available to teachers based in UK Parliamentary constituencies.
  • An eligible teacher may claim against a maximum of one subsidised twilight event and one full day seminar event during the period of the academic year. Travel costs are only available for those travelling on train, coach, aeroplane (for those travelling from the North East/North West/Scotland/ Northern Ireland), or tube and at the standard class of travel. First class tickets will not be refunded.
  • If you have to leave your home before 06:00 in order to reach Westminster for a 09:00 start, there may also be the provision of accommodation the night before. This is available on application and this must be booked through Parliament’s Education Service.Privately-booked accommodation will not be refunded.
  • The travel costs do not include refreshments, accommodation, insurance, Congestion Charge, Low Emission Zone Charge or anything other than a payment for the sole purpose of travelling. The actual travel costs are the amount of money paid, after any applicable discounts, refunds or other reductions. We expect delegates to seek the best value for money when booking travel.
  • Payment will be made after the trip has taken place, and after the Education Outreach team has received a properly completed claim form, confirmation from the Education Service that the delegate attended the entirety of a Teacher Training event and receipts for the journey. Delegates should submit receipts within 30 days of the visit. It is the delegates’ responsibility to claim the reimbursement and to hand in the receipts: the Education Service accepts no responsibility to prompt for this.
  • If a confirmed booking is cancelled by the Education Service and costs have been incurred with a travel provider, the delegate will be eligible to claim any travel costs that cannot be refunded. No reimbursement will be paid for a visit cancelled for any other reason.
  • All events remain subject to the Education Service’s normal terms and conditions. The reimbursement does not confer any additional rights beyond the right to claim the reimbursement for a specific event.
  • The primary purpose of the trip should be a visit to Parliament through the Education Service. While other activities during the trip are not excluded, they should not add to the travel costs. The reimbursement will be withheld if this happens.
  • If your travel requirements fall outside of this remit, you must inform and seek prior permission from Parliament’s Education Service, or no reimbursement will be offered.
