The Business meeting was called to order on Wednesday the 24 September 2014

The President opened the Meeting and welcomed Members present.

  1. Financial Report:

Treasurer Shannon was an apology. The Secretary presented reports for July and August.

The Secretary presented Accounts for Payment, as circulated.

Andrew Bell asked if the Accounts for payment could show the totals in future.

5.1The Secretary asked if the Club would agree to purchase an accounting package as the

Accounts were becoming more complex, especially in relation to the creation of invoices and producing balance sheets. It was agreed that this should occur. That the Secretary and Treasurer action this.

5.2The Secretary asked the club on behalf of the Treasurer to agree to remove Graeme Howard and Joyce Radford from the electronic banking authority and to give Treasurer Shannon Bennett electronic access to all the clubs bank accounts.

6.1Presidents Report – as circulated.

6.22014 Carols Report – President Desma reported that arrangements were progressing, following a subcommittee meeting last this week with Graeme Howard, Andrew Bell and Desma. Graeme is arranging for the subcommittee to meet with Sarah to assist with organising the Program for the evening.

6.3Club Health Check – President reported that she was requested to complete this report and returned. Copy in Correspondence Folder for review.

6.430th Anniversary Dinner – it was agreed that it be a traditional Christmas sit down Dinner. Desma to follow up with yacht club.

6.5Community Bus. Peter Payne reported that the signwriting would be undertaken next week. Arrangements were in place for the launch on 10th October 2014 at the Primary School at 2.30pm, followed by an afternoon tea. Local community groups will be receiving a written invitation to attend. A DL card had been ordered to promote the Community Bus to local groups.

6.6Metung Fun Run/ English Pub Night. Tom Moore said arrangements were in place for the Pub night, and that tickets were selling at $20 pp. As there are a limited number of tickets he expected to be all sold shortly. Patties had donated pies for the event; there would be local vocal talent performing and some other activities to entertain.

6.7Metung market -11th October.

Lions will ask for a marquee site – to promote Fun Run, Community Bus and Lions generally Tom Moore & Desma to man together with other members who would like to participate.

6.8 Fun Run Raffle Desma reported that monies were coming in from ticket sales. Approx $400

so far, she reminded everyone to return ticket butts and money no later than the October

6.9Fun Run Sponsorships – some monies in, others being followed up.

6.10 Replacement trailer for mobile Cool Room. – Secretary Peter reported that the trailer had

significant corrosion and that there were cracks in the welds in the frame. The trailer was taken to A1 Trailers in Bairnsdale for a quote to replace trailer and re-fit cool room to new single axle trailer. The quote for the new trailer including fitting of cool room and wiring etc is $2,500.

It was agreed that we should proceed with the work, and that $1000 deposit be drawn from Administration Account to commence the works.

6.11Diabetics Aust –Life Course – President Desma reported that information had been sent out

to other groups in the area re the short course.

6.122014 Lions cake order – The Secretary reported that he had contacted George Radford regarding numbers ordered last year as a guide, prior to submitting order.

6.13SUPER Sunday – Kings Cove Golf Club – Tom Moore expressed the Club’s appreciation for the Club’s involvement. Everyone enjoyed a very pleasant day. Half the golf club Raffle was presented to Lions, and Lions sold tickets for our Fun Run Raffle. We hope to be able to make it an annual event.

6.14Father Christmas letters – Metung Primary have expressed interest in participating. Desma to follow up with the school. The cost for the letters is $57.60. Consensus of the meeting agreed to proceed with this project.

6.15Auditing of 2014 Accounts: Ray Mengler ( RAM Accountancy) has agreed to again audit our accounts. Books have been handed to him.

6.16Seats for Metung Medical Centre: The Secretary reported that two heavy duty outdoor seats had been purchased from Dahlsen Mitre 10 at $199 each, as agreed in the June meeting. These were in the shed ready to assemble and fit. Joy Smith to be advised and asked where they would like them to be placed.

Jackson Flynn Haywood – Telephone and then email to President from Brevis Haywood regarding his grandson. The meeting discussed. Decision to approve on proviso that Grand Parent/s agree to use Plaque in future. Meeting asked Desma to pass this onto Bevis prior to handing over to Hugh Hunter for processing.

7.1Blue Lions Polo tops – Rob Smith to be provided with same – with logo and name. Bairnsdale Menswear, other members reminded to order their named top if not already done so.

7.2Club AGM – due to the lateness of auditing our books the Club AGM will occur at the commencement of the November Club Business Meeting on 26th November at 6pm.

7.3Lions Notice Board – Metung: It was reported that the current board had been broken and

was beyond repair. It was agreed to order a commercial board as a replacement. $271.70 + freight/post. Desma to arrange.

7.4Food Hygiene course- date will be moved to 15 October as some members cannot attend during school holidays.

7.5Club’s BBQ Trailer – Alan said he was waiting on a call from the person who was installing

the cupboards.
