Logging into Employee Self-service (ESS) for the first time – what to check

HR Services have endeavoured to ensure your Line Manager and Working Pattern are recorded correctly on the HR database, however we still require you to confirm that this information is correct.

Line Manager and Working Pattern are essential for holiday authorisation to work correctly.

  1. Log into ESS with your UEL Username and Password
  2. Select the Employment tab

  1. Click on the card icon for your current job

  1. Your Current job details will open, the top half of the card is your personal information

a)Is your Department (School/Service) correct? If it requires amending email Trent Admin

b)Is the name of your Reporting Manager correct? Please request your line manager to

c)Work Pattern -working pattern shows how your contractual hours are split across the days of your working week. Employee Self-service uses the working pattern to allocate your bank holidays, discretionary days and as part of the sickness calculations. If the working pattern is incorrect, this may affect these calculations.

  1. Full time - if you are a full time member of staff either Academic or Support your working pattern will appear Support or Teaching – Mon-Fri (the example below is for a Full time Support member of staff)
  2. Part time – if you are part timemember of staff the days you work are reflected in the hours that you work each day. All working patterns start on a Monday. Support staff are contracted to work 7 hours per day and academic staff are contracted to work 7.2. A non-working day is represented by a dash ( - )

Once you are satisfied that your Line Manager and Working Pattern is recorded correctly, you can now book annual leave
