PTO Meeting Minutes

March 18, 2009

Meeting called to order at 6:05 p.m.

Introductions were made.

Members and guests present: Barb Hansen, Billie Scofield, Bronwyn Caster, Christina Roachell, Cyndi Fenn, Debi Steinmetz, Heidi Rogers-Stonebraker, Lena Lopez, Lisa O’Carroll, Peter Hissong, Renee Balcom-Morales, Stacie Higgins, Susie Mitchell, Tracy Garcia

February 18, 2009 minutes were reviewed and approved.

Principal’s Report

·  Open House is 4/2; Book Fair that week

·  Testing starts 5/11

o  We said last time parents cannot be proctors. Employees must be proctors, but we can have volunteers. If you’ve never done it before, Mrs. Garcia highly recommends it.

·  Kinder packets are available. Packets can be returned starting 4/1 and must be turned in by 4/30 to be in the a.m. lottery. The lottery is now district wide. 5/1 is the lottery.

·  Spirit Days:

o  3/27 – Crazy Hair Day

o  4/24 – Go Green Day

o  5/15 – College Day (wear college jersey or shirt)

o  5/22 – Red/White/Blue Day

o  6/5 – Book Character Day

·  Budget:

o  We had to pink slip 11 staff members.

o  Class size for 1st and 2nd grade may increase from 20 – 1 to 30 – 1. This isn’t finalized; it is just a recommendation

President’s Report

·  PAC meeting with Kevin Holt today.

o  The topic was the budget. This time around mostly elementary schools were impacted. Last year it was the middle and high schools.

o  PTO’s are struggling with fundraising.

·  Christina proposed having a meet and greet for the PTO at our April meeting. 6-6:30 would be our meeting and 6:30 – 7:00 would be a meet and greet and opportunity for people to share ideas for fundraisers, etc. and not feel like they have to head it up.

Treasurer’s Report

·  Please review the checkbook handout. We currently have over $17,000 in the PTO account after known payables. Our goal is to carry $10,000 into the summer.

Teacher’s Report

·  Barb Hansen said the teachers are just supporting each other through this time. She thanked the PTO for supporting the music program. She said it is so much more than kids singing; it is music appreciation, learning about composers, etc.

Current Business

·  School dance – 3/20

o  Debi met with the DJ to go through the music.

o  Set up will start at 3:00 and there will be lights, music, balloons

o  Food will be Wicked Good Pizza, Chick-Fil-A, nachos, slushees, etc.

o  Kids can get pictures with friends and a nice backdrop was made with the date of the dance

·  Talent Show – 4/8 at the Civic Center

o  Rehearsals are under way. We need volunteers for Wednesday afternoons.

·  Original Artworks

o  Orders are due back 3/20

o  Heidi needs help on 3/24 to help process the orders

·  Carnival – Friday, May 15th; 4:00p.m.

o  Committees all filled now

§  Prizes – Cheryl Lockhart

§  Advertising – Peter Hissong

§  Time with Teacher – Julie Aguilar

§  Entertainment – Christina Roachell

o  Lisa checked and we do not need extra insurance for the carnival.

o  Budgets have been emailed to all the committees.

o  Heidi is sending a flyer home in Thursday envelopes asking for volunteers to run a game.

o  Stacie and Cyndi went through the games and are finalizing the list of games to send to Lisa. Stacie also mentioned we will be having a Dad’s Prep Night on 4/21 to help fix up the games we have.

o  Food – Billie said we are BBQing hamburgers and hot dogs. We’ll have chips, ice cream cart, bake sale, and the Smoothie King.

o  Susie got the balloon guy to come from 5-8 and he’ll be dressed Western.

o  Lisa is sending out a “Save the Date” flyer next week and will also ask for sponsors.

o  It was suggested we have volunteer sign ups in classrooms during Open House.

Open Discussion:

·  4/28 & 4/29 Spring Pictures; Debi is looking for volunteers

·  Christina spoke about a new fundraiser – Movie Wednesday

o  One Wednesday a month, we will show a movie in the cafeteria from 2:15-4:00p.m.

o  Tickets will be pre-sale only; flyer will go out a week in advance to give people time to pre-purchase their tickets.

o  $6.00 includes a drink and snack

·  Open House – 4/2

o  Ice cream social

o  Computer Lab will be open and we’ll help parents register their Vons and Ralphs cards

o  Heidi is looking for Book Fair volunteers
