Clubs to Call for More Help from Their Members

Dear all,

As a follow up to my last message about regional organisation now is your chance to decide which option you favour. Each club will have 1 vote. The 3 options to decide between are:

Option 1

•Clubs to call for more help from their members

• Reform the committee from individual volunteers with new agreed roles

•Formalise sub-committees

•Review meetings to be held during competitions or rotate around the region

•Set meeting dates for the year

•Set AGM date

•Aim to implement total plan in 2008

Option 2

•Clubs to call for more help from their members

•Reform the main committee with clubs taking committee roles and naming main contacts

•Formalise sub-committees with clubs taking roles and naming main contacts

(make this voluntary unless not enough clubs come forward, then make it compulsory pro rata with club member numbers)

•Review meetings at competitions lunch time, rest by email

•Set a date for an AGM

•Aim to implement in 2008

Option 3

•Reform the main committee based at one club

•Agree at start of year who will do what in the rest of the region

•Rotate the committee to new club every year

•Decision meetings at competitions lunch time rest by email to include other areas

•Set a date for an AGM

•Aim to implement in 2008

You will note that 2 positions were not filled last year and if you vote for option 1 we will need additional people to get involved in those roles. In addition some current members have been doing more than 1 role for some time so extra volunteers will spread the load and make life easier for everyone.

Job descriptions are attached at the end of this document. Please ask parents at your clubs to look at these so that we can have some additional volunteers.

Chair

•Chair technical committee meetings

•Attend regional executive meetings

•Monitor actions from meetings

•Drive the region forward

•A bi-yearly post

•Member of competitions sub-committee

Secretary

•Take notes and issue minutes at meetings

•Deputise for vice chair or chair if necessary

•Publicise meetings

•Attend sub-committee meetings

•Arrange votes on motions

Chair elect

•Fill in for Chair and any other missing officer

•Ensure continuity

•Arrange officers yearly election if option 1 chosen

•Take the chair the following year

Competition sub-committee

• Organise the regions competitions and keep track of performers progress in the region

Regional Courses organiser

• Coordinate the regional coach and judge courses
• Plan tutor provision for future years
• Respond to queries from organisers and clubs
• Organise courses
• Deal with fast track and other BG issues

Regional squad and development day sub- committee

•Organise squad and development activities

•Evaluate the development program in terms of performance improvements

•Buy leotards and Tee-shirts

•Liaise with regions top coaches and judges

•Organise inter- region competition

Club representatives

•Attend meetings and give support to officers

•Identify future committee members

•Vote on proposals

•Suggest improvements
