Changes in the ACES Medical Coverage Group Codes for Categorically Needy (CN) Waivers, Hospice CN and Medically Needy (MN)
Purpose: / To inform staff about changes in ACES that affect the medical coverage group codes for HCS and DDD CN waiver services and hospice.
Background: / In order to process changes in services for clients moving between a waiver program or hospice and a medical facility, financial service specialists must complete a program change in ACES. This is a time-consuming and error prone process.
What’s new, changed, or
Clarified / Effective January 18, 2011 the ACES program codes C01, C95 and C99 that have been used for HCS and DDD CN Waivers and Hospice will be eliminated and replaced with new program codes:
Previous Code / New Code / Description
C01 / L21 / ·  SSI recipients receiving HCS or DDD home and community based services (example: COPES or DDD waivers)
·  SSI recipients receiving Hospice only services
C01 / L22 / ·  Aged, Blind or Disabled individuals receiving HCS or DDD home & community based services (example: COPES or DDD waivers
·  Aged, Blind or Disabled individuals receiving Hospice only services

L95 / ·  Hospice only Medically Needy –Displays the word “HOSPICE” on the AU Summary Screen.
·  Continues to be used for non-Hospice MN coverage in a medical facility.
Post-Eligibility Changes:
·  In a change month, a deduction that is allowed in any setting during the month is allowed for all settings during the month.
·  If an allowable deduction is a different amount depending on the setting during a change month, the amount used in all settings will be the highest amount based on all settings where the person received services in the month.
ACTION: / Training about the changes in ACES has been scheduled for HCS and CSD financial services staff. It is recommended that all financial workers processing long-term care programs attend. If you have not received a notice, you can register using the links below:
