CONSTITUTION OF THE CLUB SPORTS COUNCIL
ARTICLE I
Name
The name of this organization is the Club Sports Council(CSC).
ARTICLE II
Purpose
The purpose of this organization is to represent all of the club sport teams to the administrative staff and SGA, and provide input regarding policies, procedures, funding, and overall club development. Butler University rules and regulations take precedence over the Club Sport Council’s constitution.
ARTICLE III
Definition of Membership
Regular general membership will include, at a minimum, all club sport presidents and an assigned representative from each club. The council will be governed by at minimum five board members who will be elected from the club sports student body.
The Club Sports Council will be free from hazing and will not discriminate on the basis of race, age, disability, gender, national origin, sexual orientation, residence, or any other legally-protected category as well as attempt to be accessible to all regardless to physical health or disability.
ARTICLE IV
Officers
There will be at minimum fourboard members (officers) representing the council who are currently enrolled students. Any member of the club sports student body will be allowed to run for an officer position provided they meet the requirements set forth. It is also recommended that current club sport officers do not run to run on the Club Sport Council. Regular members of the Club Sport Council will nominate candidates to fill vacancies within the board and an election will be held for voting members to select new officers. The candidates with the majority of votes will win the election. Council Board Members and the Assistant Director of Club Sports have the authority to revoke nominations if in the best interest of the council.
Specific board member positions will be selected and voted upon by the officers. Positions to be filled consist of: President, Treasurer, Secretary, and Allocation Coordinator.
Terms of service have no limit. Terms last until the officer steps down or no longer meets the general membership requirement.
Officer Removal
If an officer acts in a biased way towards a certain club or clubs they will be removed from office. Removal will be conducted by a unanimous decision from the CSC along with approval from the Advisor. A replacement will be found for their position as soon as possible. This position will be nominated by a two-thirds vote of the CSC and will hold a temporary position until the next voting session.
ARTICLE V
Advisor
The advisor will be the Assistant Director of Club Sports. The length of the advisor’s term will last as long as the advisor is employed full time by Butler University.
ARTICLE VI
Officers and Duties
The President’s duties include running the Council’s meetings and attending regular meetings with the Assistant Director of Club Sports. The President will also serve as a liaison to the officer meetings.
The Treasurer’s duty is to oversee the Club Sport Council budget as well as provide oversight for all club sports. The treasurer keeps accounts, deposits the organization’s funds, and makes expenditures in a manner approved by the Programs for Leadership and Service Education (PuLSE) office. The treasurer will also be responsible for filling in for the President in their absence.
The Secretary’s duties include overseeing the judicial committee. The Secretary will be the SGA representative; however may have another board member fill in for their absence. The secretary will also take minutes at CSC meetings.
The Allocation Coordinator’s duties will be overseeing the Allocation Committee. The coordinator will review, edit and collect business forms for each club to assist the committee with the allocation process.
ARTICLE VII
Meetings
All clubs sport representatives are expected to attend all monthly general meetings. Attendance will be taken and absence will be noted and can affect classification. 24 hours will be given to report an absence to the Secretary. Only emergency and reasonable excuses will be allowed as agreed by the club president.The first unexcused absence will be give a verbal warning.The second unexcused absence will result in the loss of practice facilities for one week and will be determined by the advisor. A third unexcused absence will put the club on probation and lower their classification. A fourth unexcused absence will result in suspension of the club sport from the CSC and the Advisor will freeze funds from the university. Quorum for the CSC is at least 3 members.
Committees
Allocation
The allocation committee will be presided over by the Allocation Coordinator. The committee will be made up of no more than 1 member of each club. The purpose of the committee is to determine the amount of money allocated to each club classification. The allocation will be based on the requirements and set criteria of each class set by the committee.
Judicial
The judicial committee will be presided over by the Secretary. The committee will consist of the President and at least one othermember randomly selected by the President and Secretary. The purpose of the committee is to look at minor violations of club sports teams or an individual member. This committee will meet only if an incident occurs.
ARTICLE VIII
Amendments
Any member of the CSC or advisor of the CSC may introduce an amendment. The constitution may be amended by a two-thirds vote of the attendance, meeting the requirements of a quorum. All amendments to the constitution are subject to the approval of the PuLSE Office. They MAY NOT take effect until they have been approved.
