Job profile:Domestic Bursar

Location:Newman House, University Chaplaincy and Student Hostel

Reporting to:Senior University Chaplain

Job Purpose:To oversee the day to day management and development of Newman House

Main areas of responsibilities:

Properties and facilities management:

  1. Maintenance (liaising with Diocesan Property Manager)
  2. Planning major works, repairs and renewals.
  3. Management of catering and cleaning contracts.
  4. Tenancy agreement.
  5. Health and safety.
  6. Quality assurance.
  7. Resident’s contracts and summer bookings.
  8. HMO (House in Multiple Occupation) and charity law compliance.
  9. Developing of summer hostel and conference facilities.
  10. Pricing and publicity for summer hostel and conference facilities.
  11. House safeguarding policies.

Human resources management of in-house staff:

  1. Recruitment (liaising with Diocesan HR)
  2. Contracts.
  3. Inductions, supervision and performance reviews.
  4. Line management.
  5. Record keeping.
  6. Salary amendments.

Financial management:

  1. Drawing up annual budget in collaboration with Diocesan finance Office.
  2. Monitoring budgets.
  3. Monthly management accounts.
  4. Quarterly accounts for Accounts Dept.
  5. Data entry for Accounts Dept.
  6. Record keeping.
  7. Invoicing.
  8. Payments.
  9. Banking.
  10. VAT.
  11. Development of existing and new revenue streams.

Chaplaincy:

  1. Working in chaplaincy administrative team.
  2. Support for wider university chaplaincy and staff (contracts, payroll, financial, safeguarding compliance, ect)
  3. Support to Senior Chaplain via weekly meetings and in strategic planning and long-term development of Newman House, ect.

Contract Type:Permanent

Salary:£35-38k per annum (neg)

Hours of work:35hours per week(9am to 5pm, Monday to Friday)

Experience required

  1. General administrative/management experience.
  2. Experience as administrator/bursar or equivalent role is desirable
  3. Experience of HR management: working in a team, recruiting and supervising others.
  4. Experience of financial management.
  5. Understanding of and empathy with the moral and social teachings of the Catholic Church.
  6. Interest in the mission of Neman House (the pastoral care of university students); interest in the lives of students and young adults.

Competences required

  1. Ability to lead and manage others; to work as a member of the wider Newman House team.
  2. Ability to build good working relationships with colleagues, staff, contractors, ect.
  3. Excellent organisational and planning skills.
  4. Good numeracy; financial and budget management skills.
  5. Good typing and IT skills; good knowledge of MS Excel.
  6. Ability to learn new skills, to multi-task and meet deadlines.
  7. Self-motivating and ability to work with wider Diocesan structures (Finance, Payroll, HR, ect.)
  8. Creativity and strategic thinking.

Qualifications required

  1. Intermediate Microsoft Office Software package (Word, Excel, Publisher)
  2. Book-keeping, with particular experience of financial accounting computer programmes
