CAPTE ON-SITE VISIT: THE EXIT SUMMARY BASED ON THE STANDARDS

On the last day of the on-site visit, a summary of the findings is presented orally to institutional administration, the program director and program faculty. Other interested individuals may be invited at the discretion of the program director. Do not invite individuals to the Exit Summary. The Exit Summary should focus only on the findings that relate directly to specific elementsof the Standards. Members of the team are expected to be objective in their comments, reasonable, fair, and as critical as is necessary to assist the program and the institution to improve the quality of the physical therapy education program.

FORMAT FOR THE EXIT SUMMARY

On the first day of the site visit, ask the program director who is being invited to attend the Exit Summary (formally called the Oral Report). The Exit Summary should occur after the team holds a separate exit interview with the program director and, if designated by the program director, the program faculty. The report given to the program director and faculty may contain more "individual-specific" criticism than the comments made in the report to the larger group.

The team may all contribute to the oral presentation or, if the team prefers, this responsibility may be delegated to the team leader.

Initially, a discussion should occur which provides an overview of the CAPTE accreditation process, the roles of the team, and actions following the site visit (e.g., when to expect the written report); the program's opportunity to submit a written response to the report and to evaluate the activities of the team and the accreditation process; and the expected date of CAPTE meeting review). To ensure consistency across teams, an outline summarizing the concluding remarks and Exit Summaryis attached. The date for CAPTE review of the program can be found in the initial team assignment letter.

The initial Overview Section of the Visit Report is used for the Exit Summary. This includes a brief summary of the findings related to each Standard; a specific element-by-elementreport is not expected and should not be given. However, any issue raised in the body of the Visit Report mustbe mentioned so that the program and institution have some warning of comments that will be contained in the Visit Report.(And visa versa: if a problem is identified in the Overview Section, details must be provided underthe relevant Element.) It is recommended that the team be extremely careful to avoid any use of analogies. In addition, all comments must directly relate to the Standards and Required Elements. All components of the report should be based in fact and clearly articulated. The team should leave time at the end of the report so that discussion with the audience can occur. However, it is cautioned that the exit summary and subsequent discussion of findings is not a time to debate the report’s conclusions with the team. If there is disagreement with your findings, the program should be informed that they will have thirty (30) days to respond to the Visit Report once it is received from the Accreditation Department.
