ALA Exhibit Round Table Board Meeting Minutes

Meeting called to order at 7:20 am (confusion about the meeting’s start time as several board members were at the meeting at 7:00 am).

Treasurer’s Report

Jay Askuvich reported that as of 4-30-06 the ending Net Asset Balance was $10,617, which included the following:

-Fund Balance - $7461

-Revenue - $6419

-Expense (including overhead) $3263

-Net Revenue $3156

Membership Report

Jay reported as of May 31, 2006, total membership up 3.55% at 437 members, which includes personal, organizational and corporate.

Membership Committee volunteered to walk the show floor with ERT brochures in hand to encourage exhibitors not only to attend the ERT General Meeting but to also considering becoming an ERT member.

Committee Reports:

Silent Auction:

Susan Russel made a plea for volunteers to assist the Silent Auction staff. Recommended that ALA hire temps. Even though there were fewer bidders, donations were running on target at $14K.

ERT Sponsored Programs

This program is not working. The difficulty of the program is the timing (only a few days from the announcement to when the information is needed for the ALA program). The Board recommendation is to not actively market this program. However, if an exhibitor does bring a program to the board, it will be reviewed and if not commercial, may be considered as an ERT sponsored program.

Vendor Product Spotlight

Janene Witchey reported that the Vendor Spotlights were not well attended; however, expect to do them again next year at Annual in Washington.

Closing Reception

To increase traffic on the show floor, some exhibitors are offering matching donations (attendee can win for themselves and for a library of their choice).

New Business:

Proposal

ERT passed a motion to work with ALA to change the exhibitor contract so that no vendor events will be allowed off the convention floor during exhibit hours. To facilitate this change, the board is considering shortening show hours and adding meeting rooms to the show floor.

Meeting and Greet

In an effort to increase attendance at the General Membership Meeting, the board decided to do a Meet and Greet Breakfast before the General Membership Meeting at Midwinter.
