IMPORTING STUDENTS TO DESTINY

Importing students to Destiny is a three step process. You must compile your student information into an Excel spreadsheet, use the Patron Conversion Utility to convert your file to a format which can be read by destiny and then finally perform the actual upload to destiny.

***You must have administrative rights to the computer you are using to convert the student file.

Below are the three steps which must be followed to ensure a successful upload. The steps have been outlined in detail for your

PREPARING YOUR STUDENT LIST

Get a list of new students and transfers from Registrar and create an excel worksheet which contains the following headers:

Last name = Student’s last name

First name = Student’s first name

Student ID = student’s number

Patron Type = Freshman, Sophomore, Junior or Senior

Current Status = Active

User Defined 1 = TA Teacher (optional, if you don’t have this info don’t worry)

User Defined Field = TA Room (again, optional)

Once your done with your file, you need to save your file as a *.csv file. You do so in Excel by selecting <File>, <Save As>change your file type to *.csv. (see picture).

CONVERTING YOUR *.CSV FILE

To convert your *.csv file you must use Follett’s Patron Conversion Utility. If you do not have this application, you can download it at: .

NOTE: The Patron Conversion Utility will only convert your file to a format which can be read by Destiny. It does not perform the actual update.

Install and launch the application.

Once the application is launched you will need to browse out to your computer to find the *.csv file you created in the previous step. My file for this exercise is destiny-import2007.csv. You can name your file anything you want to name it.

After you have found your file you now want to change the <Options> for your “Source Format”, so click on the <Options> button. This will open up the “User Defined Conversion Options” window will appear.

In the “User Defined Conversion Options” window you need to first start by defining your “Source File”. You must have “Delimited” checked and the “Delimiter” will be “Comma”. You must also check “Input file has header record”.

Important!....Under “Barcodes” section DO NOT CHECK THE “Assign Barcodes” box.

Next, you must define the “Source Fields”. This is the hardest part of the task. You must type just the field number for each item.

Barcode = Student ID field so enter the field your Student ID is in. My file has the student ID under field 4.

Last Name = student’s last name

First Name = student’s first name

Patron Type = the field contain whether the student is a freshman, etc.

User Defined Field 1 = the field that has TA Teacher

User Defined Field 2 = the filed that has TA Room

Patron Status = current status field.

Once you have defined all the options, click “OK”.

This will bring you back to the Patron Conversion Utility, you are ready to click convert.
