Student Rental of Lloyd Ultan Recital Hall Guidelines

(For extra rehearsals, recording sessions, performances not addressed in Recital Packet etc.)
Hall Rental Cost: $35/hour, billed to your student account upon confirmation
Rules for renting the Hall:
- You must be an admitted School of Music student.
- The rental privilege is for personal use only and is not transferable to non-School of Music individuals or groups
- Availability is subject to the degree recital and other School of Music schedules and is solely determined by room 100 staff.
- Rental reservations requesting staffing support or additional services must be made 2-6 weeks of the requested date.
Rental reservations that do not require staffing support or additional services may be made up to six weeks in advance based on availability.
How to rent Lloyd Ultan Recital Hall:
- Go to the scheduling website at and click on Lloyd Ultan Recital Hall Calendar to view available times. Note: if the request is for a recording session, be sure the half hour prior to your requested time is available for warm-up and sound check. No rental fees are assessed against this ½ hour.
- Once you have chosen a time, fill out the Student Rental of Lloyd Ultan Recital Hall request form: music.umn.edu/scheduling/form_rental.phpfound on The School of Music Scheduling Site under “FORMS”.
- You will receive an e-mailed response confirming your reservation as well as the total charge to your student account. Note: cost is subject to change, depending on recording choices and availability.
- Once you receive the confirmation e-mail, consider your reservation final. Your student account will be billed the rental cost and any other applicable fees.
Cancellation of rental:
- Any change or cancellation of a rental date will be subject to an automatic $50 cancellation fee. If you cancel or change your rental reservation seven (7) days or fewer from the date of your rental reservation, a $100 cancellation fee will be incurred.
- Previous payments will be credited toward the cancellation fee and your student account will be charged or credited accordingly.
Recording Services:
Recording sessions for personal or professional reasons including auditions or competition entries are an important aspect of your career. However, the availability of space and staffing to support these services is dependent on priorities of School of Music students’ degree requirements and performance curriculum.
If you would like your session recorded, you have two options:
- Request your session to be recorded by a School of Music (SOM) recording engineer at a rate of $35/hour (making the total $70/hour for sessions in the recital hall) using the online Student Rental of Ultan Recital Hall form. For this option,you must have your session in Lloyd Ultan Recital Hall. It is not possible to request a particular sound engineer. Availability of a SOM recording engineer is subject to other performance and work schedules. Requesting a recording engineer through the SOM does not ensure staffing of your event. A minimum of one hour of labor will be charged for all recording sessions.
- Record the event on your own. This could mean bringing in your own recording equipment, or hiring a recording engineer outside of the School of Music to record your session bringing in his or her own recording equipment. Access to the Lloyd Ultan recording booth is prohibited.
If you are requesting a recording supported by the SOM staff, please follow these procedures:
- Complete the Rental of Lloyd Ultan Recital Hall request form (after checking the Ultan calendar).
- If the requested hall time is available, your request will be forwarded to the A/V department to check for staff availability.
- If staff is available, you will receive an email confirming your reservation and you will be billed accordingly for the space fee ($35/hour for Ultan reservations) and the recording engineer fee ($35/hour) for a total of $70/hour.
- If staff is NOT available, you can either request another time/date or you can keep your recital hall booking and record the event on your own.
Additional recording information:
- CD and/or DVD blank media will be provided for your recording sessions and your recording engineer fee provides you with a single copy in each format.
- All School of Music recordings are made directly to 2-track (stereo). Please take the time to listen to the balance of the recording early in your recording session. It will not be possible to adjust the levels of the different instrumentation after it has been recorded.
- The School of Music does not offer editing services. You will have to make your own arrangements if your recording will require additional editing. It is possible to reorganize movements by track or to select the best take of individual movements as marked by tracks on the audio CD; however, it is difficult to mark individual chapters on video DVD.
- Layout of demo CDs may be done by the recording engineer for your session or another technician at a later date. Demo CD layout is also charged at $35/hour.
Tuning:
During the course of the regular academic year, pianos are tuned on a regular basis. The pianos in Lloyd Ultan Hall are generally kept at performance readiness during the Fall and Spring school terms. In the summer, tunings are scheduled to support degree recitals. However, if you are concerned and want a special tuning, you may request one. It is recommended tunings are requested for pianos for rentals made outside the school’s Fall and Spring terms. At least two weeks notification is required if you request this service.
The following fees will be charged for additional tuning requests:
- Piano tuning (subject to availability), $125 billed to your student account upon confirmation.
- Harpsichord tuning (subject to availability), $100 billed to your student account upon confirmation.
