KEYSTONE CHAPTER MEETING USAWOA - 28 MARCH 2012
MINUTES: USAWOA Keystone Chapter, AMM Preparation Meeting

LOCATION: Holiday Inn East, Harrisburg, PA
ATTENDANCE: 14 Members
The Keystone Chapter of the United States Army Warrant Officer Association held a meeting on 28MAR12 to aid in the planning and execution of the 2012 AMM.
The location of the meeting was at the Holiday Inn in Harrisburg, PA, the same location as the 2012 AMM. This event enabled members to view the hotel, parking, entrances, highway access, area attractions, conference rooms, and lounges.
President Daun Arsenberger called the meeting to order. There were 14 members present.
Secretary Allen Metheny read the minutes from the last meeting. Changes to the minutes were the Guest Speaker is COL (not LTC) Cecil Hangoeveld. The audio visual cost was misstated but is now irrelevant based on the information listed in these minutes. The AMM dates were added which are 29OCT12 to 2NOV12. A motion was made to accept the minutes as amended. It was seconded and passed unanimously.
Teller Committee: VP Patty Ravegum reported on the Teller committee. She has a fax machine, mailing address, and email for the proxies as well as all other AMM correspondence.
Nominations Committee: Mr. McNamara reported for Kathleen Lentz. Changes were made to the Newsliner. The committee has received 2 nominations
Credentials Committee: Mr. Snook will receive the database of all current members in good standing by the end of April. Herb Rundgren from National USAWOA will be at the AMM and will be available to resolve any membership/proxy/who can vote issues.
Registration Committee: Secretary Metheny has 2 members so far. To expedite registration, tables will be set up based on last name. There will be a bag containing information on local attractions along with a folder with information on the meeting and the events that each member preregistered for. There will be extra bags available for late registrants. Credit card swipe machine and lock box for late registrants. Secretary Metheny is also looking into a cash box and credit card processing app or swipe machine.
Audio Visual Committee: Webmaster Brent. National will provide a computer and projector. Webmaster Brent has all other AV equipment. If the Holiday Inn will let us use our own AV, it will save the chapter several hundred dollars in user fees charged by the hotel.
Spouse Events Committee: Mr. Witmer. No changes. We have vans, bus, or buses depending on the number of attendees. We will notify the bus company approximately 90 days prior to the AMM.
Protocol: Ms. Smith will be leaving us. She will work on this committee until the time she must depart. We are looking for a replacement. We also need a time line from National for their speakers.
Additional Items
· Department of the Army is adding the USAWOA to the permissive TDY memorandum. It is expected to be released prior to the AMM
· Gettysburg museum: They will charge $10 for the museum. Everything else is free. The war college will be providing 2 guides. USAWOA bus(s) will not be charged to go through the battlefield.
· Hospitality suites – there are currently two scheduled
· Poker chips – Mr. Snook - We will be charged $1.06. A sample will be sent to Snook. The first 100 are free.
· Mr. Witmer will make final design changes to the emblem/motto so the coasters can be ordered
· Golf will be on Monday from 8 to 1300 at the Sportsman Club. They are giving us a deal of $20 for cart and 18 holes. A strip map will be on the website and in the bag. It is 8 miles from the hotel.
· Webmaster Brent will create a AMM info page on the website
· We are still looking for a color guard
· The Holiday Inn does not have an indoor flag.
· Proclamation should be back from the governor’s office by the end of April

· Mr. Gutekunst made motion to adjourn. Mr. Brent seconded. The vote passed unanimously. Budget committee met afterword.
