Reports To:Corporate Services Manager

Summary

To develop and deliver a high quality Human Resources service to Start360.

To assist the Corporate Services Manager in executing the responsibilities of the wider Corporate Services department.

Main Responsibilities

Human Resources

  • Lead on generalist HR and Employee Relations matters, with guidance from the Corporate Services Manager where necessary.
  • Provide advice to line managers in relation to employee performance and conduct.
  • Review, develop, and implement Start360 Policies and Procedures in line with employment law and best practice.
  • Manage recruitment and selection: actively participate on interview panels; ensure consistent and best practice process; supervise administration; and provide line manager guidance where required.
  • Ensure a consistent new hire orientation process is provided, including appropriate pre-employment screening and induction training.
  • Manage payroll for the organisation in conjunction with outsourced provider, including review and sign off of monthly payroll reports.
  • Ensure all staff amendments are processed accurately and promptly.
  • Coordinate the annual training programme and deliver relevant training where necessary.
  • Record, monitor, and report on absence, and provide support to managers in the event of any long-term absences and sickness absence trigger points.
  • Pro-active management of HR calendar of events, ensuring that processes are managed effectively and professionally.
  • Ensure the HR software system, People HR, is kept up to date.
  • Expand the use of People HR to drive improvements in monitoring and reporting.
  • Prepare Article 55 and Equality Monitoring returns.
  • Provide confidential adhoc advice and assistance to Start360 employees.
  • Keep the organisation up to date with changes in Employment Law.

Information and Communications Technology

  • Liaise with IT/telecommunications providers to amend faults and upgrade services.
  • Organise the purchase and installation of new IT and telephone equipment.
  • Ensure new staff/leavers/distribution lists are set up on the IT system, updated and archived as necessary.
  • Manage the asset register, ensuring it is kept up to date at all times.

Health and Safety

  • Ensure Health and Safety checks are carried out at satellite offices.
  • Ensure Health and Safety risk assessments are carried out at all Start360 locations.
  • Review Health and Safety risk assessments for any required action.
  • Carry out a Health & Safety audit - one office per quarter.
  • Ensure all staff car documentation is up to date and legal.

Facilities

  • Support the Corporate Services Manager and/or Service Delivery Managers the effective organisation and management of the Start360 offices, including facilities management.
  • Ensure any building maintenance work is carried out timely.
  • Ensure the organisation’s asset register is updated as required.
  • Provide general assistance to staff and visitors.
  • Ensure office is kept to a high standard of presentation and safety for staff and visitors.

Quality Management

  • Ensure the ISO9001 records are updated as required.
  • Contribute to the achievement and implementation of HR quality standards such as IIP and CCAT.
  • Assist in the preparation and implementation of ISO audits and related meetings/actions.

Line Management

  • Direct line manage the HR Administration Officer based in the Belfast office, ensuring all duties are carried out to a high quality and in a timely fashion.
  • Carry out regular performance management meetings and appraisals for the HR Administration Officer.

Corporate Services team

  • Deputise for the Corporate Services Manager in her absence, supervising the Corporate Services Department and providing support and guidance to the team.
  • Provide support to Corporate Services Manager for ongoing activities, action plans and projects.
  • Support the Corporate Services Team, providing cover where required for reception calls.
  • Support fundraising opportunities organised by the team and wider organisation, and contribute to new ideas for fundraising.

Pay and Terms and Conditions

Salary:NJC Points 28 - 32 (£25,951 – £28,485).

Contract:Permanent.

Holidays:25 days per year; increasing to 27 days after five years’ service and 30 days after 10 years’ service. Employees also avail of 12 statutory days, one discretionary birthday day and one discretionary Christmas shopping day.

Pension:Pension arrangements are offered In line with statutoryguidelines.

Probation:You will serve a probationary period of six months. This may be extended if considered appropriate.

Waiting List:A waiting list may be compiled for any similar temporary or permanent vacancies that arise in the next 12 months.
