Chairman positions are appointed (with governing body approval) by the incoming Chairman and
Coordinator after the governing body slate is nominated in March. Forms are Due March 19, 2014.
Committee Chairman Positions & Their Duties:
All chairmen will attend new chairman training in May, work in accordance with governing body direction, work with parent advisors when needed, will provide instructions to other Assisteens members to fulfill the obligations of the philanthropy. All chairmen will work in the parameters of their annual budgets, keep records, file monthly updates in the Newsletter, post updates to the website and update notebooks. All chairmen will write an annual report to be submitted in May with the notebook to the outgoing Chairman. All chairmen will report to their governing body member regularly and at regular membership meetings.
Annual Meeting- Shall be responsible for the Annual Meeting in May. This is a whole class project for the 10th grade.
Assisteens Conference- Shall help recruit and sign up attendees for the annual Assisteens Conference, traditionally held in June.
Baby Layettes- Shall oversee the making of baby layettes for the local Irvine Hospital.
Big Sister/Little Sister- Shall coordinate the kidnap breakfast, and will also arrange for other social activities that help welcome the 7th grade class. This is a whole class project for the 9th grade.
Dental Clinic- Shall organize and oversee the Assisteens participation in the Rotary Club Dental Clinic, will contact the Rotary Club for information, purchase craft supplies and create a volunteer schedule to cover the day of the event and will attend the event and remain until all Assisteens obligations have been fulfilled.
Food For Families- Shall arrange for monthly food drives, will arrange for Thanksgiving baskets and Adopt-a-Family during December, will arrange for volunteers to work at the Families Forward warehouse to shelve food and at various events throughout the year, and will work with director at Families Forward to determine current need.
Friday Night Friends: Shall be responsible for recruiting Assisteens for monthly events which are “parties” for special needs kids. When applying for this position, make sure you are comfortable working with kids with special needs.
Historian- Shall keep accurate records and photos of the year’s activities, and be responsible for maintaining chapter scrapbooks and website photos.
Holiday Library Craft Days- Shall work with the library staff to schedule children’s craft events in July, October, December and February, will oversee the class craft projects and work with the class advisors to schedule adequate help at each station.
Hospitality- Shall schedule snack coverage for all meetings and remind each class before the general meetings of their snack obligation.
Hours- Shall be responsible for maintaining a record of membership participation and hours served, shall be responsible for records tallied and reported to membership (through their advisors) in January and in May, and shall make hours certificates to be handed out at the annual dinner meeting.
IACC- Shall work with the director at the IACC, arrange for volunteers for Pet Trek and adopt-a-pet, and arrange for blankets to be made to go on pet beds at the IACC. The chairmen may also come in contact with animals at the shelter.
IADHS Activities- Shall work with the Senior Center to coordinate activities for the Assisteens of Irvine to serve at the Lakeview Senior Center. It may include training, scheduling Assisteens to work at the Senior Center and providing Cheer Kits to the seniors during the year.
IADHS Centerpieces/Corsages- Shall be responsible for the centerpieces and corsages to be delivered to the IADHS, and be responsible for contacting the director at the IADHS to find out their needs.
Library Artwork- Shall work with the Library staff and to determine appropriate themes for decorating the library meeting room four times a year.
New Member Training- Shall put together the new member notebooks in time for the first meeting in June, shall assist in the training of new members at the new member training in June, shall assist in making new member notebooks and assist in training during the year when needed.
OSB (Hygiene) Kits – Shall work with ALI to find out and fulfill the needs for hygiene kits when needed by shopping for items, organize volunteers to pack the items together, and arrange for delivery to the ALI Thrift Shop.
Opportunity Drawing- Shall assume responsibility for the monthly opportunity drawing at the ALI meetings by providing an item for the drawing, recruiting 2-3 Assisteens to sell tickets and give a report at each ALI meeting. She will instruct the volunteers in the proper procedure and give their names to the Assisteens Coordinator.
Poinsettia Sale- Shall be responsible for organizing and supervising the Poinsettia Sale, establish a time schedule for the sale and determine the location and logistics for delivery of the product. Materials and instructions will be distributed at the September meeting regarding the correct procedure for selling plants. Will work with the Assistant Treasurer to manage the finance for the event, keep an account of expenses and income and will collect orders from the membership in November and place appropriate order with poinsettia seller. Will recruit volunteers for the pick-up days, be available throughout the pick-up period, arrange for delivery of plants not retrieved and will remain after the event until all ASSISTEENS obligations have been fulfilled.
Self-Improvement- Shall be responsible for planning two self-improvement activities for the Assisteens to be held at general membership meetings.
Social- Shall be responsible for developing two social activities (fall and spring).
Summer Library Craft Day- Shall work with the Children’s Librarian, to determine appropriate craft projects for summer craft days (July and August), will enlist Assisteens to adequately publicize and staff the event, will secure and prepare the necessary supplies for the projects, and will attend the events and remain until all Assisteens obligations have been fulfilled.
Sunshine- Shall recognize monthly birthdays for Assisteens members at the general monthly meeting with purchased candy.
Thrift Store Liaison- Shall will work with the ALI Thrift Shop Scheduler and/or ALI Thrift Shop Manager(s) to help schedule Assisteens to work at the Thrift Shop.
Warm Hugs- Shall work with the Human Options to provide bath towels to be included with the Kits ALI puts together for the new occupants of Human Options.
A WISH: Shall be responsible for recruiting Assisteens for just one event in June. The event is a cultural fair held at Santiago Hills Elementary School.
Young Masters- Shall work with the ALI advisor to organize the Assisteens contribution to the ALI Young Masters Art Show. Will select, plan, and carry out the Assisteens Art Station, Face Painting Station, and any other activities to which the Assisteens have committed. Will make the final decisions and determine the scheduling for the day of the event. Will be present at the event to check in the Assisteens volunteers and ensure appropriate staffing for the workstations and will remain after the event until all Assisteens obligations have been fulfilled.
