Nonpublic Schools Enrollment Reporting Guidance (Homeschools)
This guidance document outlines the process for all persons conducting nonpublic schools (private or homeschool) to submit annually, no later than October 5, a statement of pupil enrollment as of the last school day in September, on such forms as prescribed by the Delaware Department of Education (DDOE) pursuant to 14 Del.C.§2704(b).
The screen pictured below will open automatically during the enrollment reporting window, August 1st through October 5th each year, upon logging in to the DDOE’s Identity Management System (IMS) Nonpublic Schools application.
Enrolling your student for the new school year
The system will show all students enrolled and not graduated from the previous school year. The screen shows the student list by student’s name, the enrollment status, and the next enrollment year.
The process, in general, is as follows:
- Add a new student if that student is not on the list.
- Withdraw or graduate students listed.
- Review the current student list and confirm each student’s next grade.
- Click Save Enrollment.
- Click Submit Enrollment.
- Print the Enrollment Acknowledgement and keep it for your permenent records.
- You will receive a email confirmation of your enrollment.
ENROLLMENT STEPS IN DETAIL:
Adding New Students:
Click on the Add Student buttonon the top right of the enrollment page to add a new student into your homeschool. Fill in all of the information and click save. The system will return to the enrollment screen where the new student will be listed. Next, click on the pencil icon and confirm the new student’s grade and start date. Click on the Save button to return to the enrollment screen.
Withdrawing or graduating students listed:
If the list shows a student that should be withdrawn or graduated in the upcoming schoolyear, click on the home button at the top left of your screen. Scroll down to the Students List on the home page. Click on the pencil icon on the right side of the student listed. Scroll down to the Status field and either withdraw or graduate your student. You can also edit any other information on this screen, if necessary. Disregard the invalid date at the bottom of the page. Click on the save button to return to the home page. Click on the enrollment tab to return to the enrollment processing page. Note that withdrawn or graduated students will not show on the enrollment page. The student’s will show in the acknowledgement letter.
Reviewing the current student list:
Review your students listed. The system will show all students enrolled and not graduated from the previous school year. The list below shows the student’s name, the enrollment status, and the next enrollment year.
A student assigned to an ungraded grade of either Ungraded Elementaryor Ungraded Secondary, will remain in the same ungraded grade when the student is enrolled for the new school year.
Confirming Student Enrollment:
Click on the pencil icon on the right of each student name and answer the enrollment questions (below) for each student and then click the Save button to return to the enrollment screen..
Screen Q1. Should this student be retained or rolled to the previous school year grade?
If No, go to the next question.
If Yes, select the drop down and the child’s grade will be set to the previous year’s grade on saving.
Screen Q2. Start Date (MM/DD/YYYY):
Enter the start date for each child in the format shown. Do not enter a past date. This date must be in this format mm/dd/yyyy, and every student on the list must have a valid date. If you get a failed to update error , go back and check each student’s date.
Once all students’ enrollment information have been confirmed, click on the Save Enrollment button.
Confirm all information for all students listed on the summary and confirmation page and click the Submit Enrollment button.
Acknowledgement Screen:
Once the Submit Enrollment button is clicked, the final screen appears that acknowledges your enrollment submission.
Click on the Print Enrollment Icon to print a record of your enrollment for your permanent records.
