Functional Area: General Ledger / Create Funds Center Group
Purpose
Use this procedure to create funds center groups.
Trigger
Perform this procedure when a “master data creation/change request form” is received and a new funds center group is requested.

Menu Path
Use the following menu path to begin this transaction:

Business Process Information
Grouping master data objects allow for more flexible reporting and analysis. Grouping funds centers helps to consolidate multiple units within an organizational structure for reporting, analysis, and management. A Funds Center is a clearly defined responsibility area in Funds Management. It is an organizational unit within a Financial Management area to which budget can be assigned. For the University of Cincinnati, Cost Centers and Funds Centers are identical in number and representation. Funds Centers represent organizational units (units, departments, divisions, and programs). Funds Centers capture the budgetary view of these organizational units. Identical cost center groups must be established via transaction KSH1.
Helpful Hints
  • The R/O/C column in the field description tables below defines whether the field is required (R), optional (O), or conditional (C).
  • On certain screens you may have to scroll to view some data entry fields.
  • Numbering/naming convention for funds center groups should be alpha, usually 10 characters, i.e. DptAthltcs for the Department of Athletics. Funds center groups should be identical to cot center groups in naming/numbering.

Procedure
1. / Start the transaction using the menu path or transaction code.
Create Funds Center Group: Initial Screen

2. / As required, complete/review the following fields:
Field / R/O/C / Description
FM Area / Required / Organizational unit which plans, controls and monitors funds and commitment budgets.
Example:
UC
Funds Center Group / Required / Groupings of Fund Centers. Using the group term, all objects in that group can be edited together.
Example:
ATHLETICS
This is a 10 character field that does not allow for spaces or special characters. An alpha descriptive naming convention should be used.
/ When creating a funds center group, SAP offers a Template which allows for copying from another funds center group.

4. / As required, complete/review the following fields:
Field / R/O/C / Description
Unlabeled field (to the right of the funds center group name) / Required / Long description of the funds center group.
Example:

5. / Click .

6. / As required, complete/review the following fields:
Field / R/O/C / Description
Unlabeled field (to the left side below the funds center group name (From Value)) / Required / If the funds center group is represented by a range of funds centers, this would represent the beginning of the range, the From Value. If funds center group is not represented by a range, the funds centers would be entered one by one in these fields on the left side.

Unlabeled field (to the left side below the funds center group name (From Value)) / Required / If the funds center group is represented by a range of funds centers, this would represent the beginning of the range, the From Value. If funds center group is not represented by a range, the funds centers would be entered one by one in these fields on the left side.

Unlabeled field (to the left side below the funds center group name (From Value)) / Required / If the funds center group is represented by a range of funds centers, this would represent the beginning of the range, the From Value. If funds center group is not represented by a range, the funds centers would be entered one by one in these fields on the left side.

/ Using From-To values allows for entry of funds center ranges. Typically funds centers that are grouped together are within the same number range. Although, if the funds centers are not within the same number range, you would not use the To Value field, you would list the commitment items in the From Value fields only, as exampled above.
7. / Click .
/ Once is clicked, the funds centers listed are displayed (as seen in the next screen shot).

8. / Click .
/ The system displays the message, "The changes have been saved."
9. / Click until you return to the SAP Easy Access screen.
10. / You have completed this transaction.

Result
You have created a funds center group. Now make sure that an IDENTICAL cost center group is established via transaction KSH1.
