Room Rental Fact Sheet

The Auditorium – Room 2032

·  Blinds and lights are not to be touched before or during events. At the time of booking please indicate on the form under room setup whether you want the blinds up or down and we will arrange it as part of your room setup.

·  Signs/posters are not permitted to be hung up on the copper wall outside of the auditorium. Should you need to rent sign stands please also note this on the booking form and we will arrange it as part of your rooms setup

·  There should be no food in the bleachers at any time.

·  Please do not move the furniture in the breakout spaces. Should you need them moved please also note this on the booking form and we will arrange it as part of your rooms setup.
Note: additional charges may apply.

·  If you are having Catering as part of your event, please ensure they are here to retrieve their items at the end of your meeting as the room might be booked out after you. The preferred caters are Paradise Catering http://hospitality.mcmaster.ca/catering/menu.html for your larger event needs or La Prep http://www.laprep.com/ca/ca-en/menu/catering.html for your smaller event needs.

Rooms 2035/2036

·  When requesting 2035 and 2036 together upon time of booking please indicate whether you want the wall up into the ceiling to make one large room or down to the ground to make two smaller rooms. Whatever you chose will be how the room remains for your entire meeting. If you need it changed at any point during your meeting, please request this via email at least (1) one day prior to your meeting so we can schedule setup people accordingly. Moving this wall requires two trained people and they may not always be available if you have a same day request.

·  Taping signs or posters to the movable wall is permitted as long as you have used the tape provided by the Building Administration Office room 1007. Additional charges may apply if you are using any other tape.

General Details

·  Please ensure you are cancelling your room requests when you know they are not going to be used. Even if it’s on the day of the event; it is helpful for us to know in case we get a last minute request.

·  When catering is part of your meeting please ensure this is noted on your booking form. We have a limited amount of tables so please make sure you get them reserved as soon as possible. If you request tables after the time of booking there will be a $10 charge per table.

·  When booking any space our Housekeeping Team needs time to clean after each meeting. Please allow them at least an hour to get to the room and perform the necessary duties.
