2. PURPOSE OF JOB

2.1  Provide Personal Assistant services to the International Director (ID) who has responsibility for the international speaking team and strategic direction of RZIM, allowing the ID to make the most productive use of time.

2.2  Take an active part in the devotional life of the team.

3. KEY ACCOUNTABILITIES

3.1  Working closely with the ID’s dedicated team (Executive Assistant and Travel Assistant) to provide administration and communication support to the ID, representing the ID as first point of contact over telephone, email and in person. This will include management of ID’s email inbox and correspondence on behalf of the ID.

3.2  Building and maintaining effective relationships and communication at all levels both within RZIM, and externally with key organisations and individuals, including those who invite the ID to speak, write, train or broadcast.

3.3  Responsibility for diary planning including daily/weekly itinerary.

3.4  Responsibility for travel bookings and applications such as flights, ground transport, hotels, passports, visas, insurance, etc. in conjunction with inviting parties and, where appropriate, anyone travelling with the ID.

3.5  Working closely with Personal Assistant and Executive Assistant organisational team to plan ahead for the UK and EMEA annual calendar, ensuring clear subsequent communication across all departments.

3.6  Coordinating itineraries for visitors being hosted by the ID in Oxford.

3.7  Financial administration on behalf of the ID including collating expenses and making payments.

3.8  Attending events as requested, especially annual UK based RZIM in-house events.

3.9  Other duties as and when may be required to support the activities of the Zacharias Trust, the Oxford Centre for Christian Apologetics and the global RZIM team.

4. POTENTIAL ACCOUNTABILITIES*

4.1 Responsibility for some social media on suitable platforms on behalf of the ID where appropriate.

4.2 Carry out any necessary research on topics or statistics as requested and agreed with the ID.

PERSON PROFILE

·  Graduate or equivalent standard of higher education (essential)
·  Comfortable using standard office IT systems (Microsoft Office Suite) Experience of using Office Outlook is essential.
·  Significant experience in an office environment (essential)
·  Experience as a Personal Assistant or similar role including diary management, coordinating meetings, booking travel and arranging logistics (highly desirable)
·  High level of attention to detail able to maintain a high standard of accuracy at all times.
·  Ability to take initiative and work with minimal supervision, both independently and as part of a small team (essential)
·  Excellent verbal communication and interpersonal skills including ability to interact with individuals from all walks of life (essential)
·  High standard of literacy and written communication (essential)
·  Highly organised and able to prioritize a varied work load and deal with conflicting demands on their time. (essential)
·  Basic numeracy (essential), experience of expenses reconciliation and tracking (desirable)
·  Flexible attitude, willingness to take on a variety of tasks and occasional weekend work (essential)
·  A team-player who is able to contribute to the working life and environment of a growing team. (essential)
·  Open, honest and in sympathy with the aims, ethos and work of RZIM and a willingness to take part in the devotional life of RZIM. (essential)
·  Experience of basic research (desirable).
