Subject: FY-16 Guidelines for Conference/Meeting Days

Faculty will be allowed five (5) days per fiscal year to be used for CME, invited lectures, presentations, etc.; and five (5) days per fiscal year to be used for academic activities such as invited lecturer, visiting professor, required attendance at regional or national meetings or serving as officers of professional societies, etc. These days will be allowed based on merit and approved, in advance, at the discretion of the chair. All requests for meeting and conference days should be submitted through the online leave module to the chair as far in advance as possible, with days being taken only after approval has been received.

If remuneration is received, the faculty will have to complete an outside activity form and use a vacation day if the fee is personally retained. If the fee is returned to the department, no vacation day requests are required. UFCOM-J faculty are required to follow the University of Florida’s guidelines, policies, and procedures regarding conflict of interest and outside activities, including financial interests.

If there is a difference of opinion on the validity of the request, the Senior Associate Dean for Faculty Affairs will review the issue and forward a recommendation to the Dean who retains final authority in adjudicating the disagreement.

Please promulgate these guidelines to your faculty.

The chair of the department is responsible for all activities of the department including but not limited to the clinical, financial, educational and research activities. Just as the chair has the prerogative (and responsibility) of approving absences from the department, this also applies to meeting and conference days which can be approved or denied in the context of individual and departmental obligations. You may allow additional days to your faculty members only after consultation with the Senior Associate Dean for Faculty Affairs but you are still responsible for the budgeted revenue generation regardless of the number of absentee days approved.

A department chair will be allowed up to 20 days (160 hours) of meeting and conference time during an academic fiscal year. Vacation leave may be requested for additional time (over the 160 hours).
