Minutes of Committee meeting held on the 25th October2012– moved they be accepted

Matters arising from previous minutes:
- DOC WELA committee and constitution.
Ian spoke on WELRA objectives. After a discussion it was decided to leave it in
the meantime and bring it up at the AGM
To invite a representative to give a presentation at the April Meeting. Ian /Tom Lois
- Stu to be talked to, about cost of replacement beacon batteries for the different
types of beacons. Rosemary
- Lois reported Xmas / thankyou letters to be sent to property owners whose
property we have walked on are done and ready to post.
To forward copy of Xmas letter to Ian who will send it to a backpacking property
owner.

Inwards Correspondence:
- The Christchurch Tramper newsletter.
- The Banks Penninsula news letter.
- DOC WELRA new committee and constitution – sent to Ian.
- Air Rescue Trust – Thankyou letter for donation sent to them.
Outwards Correspondence:
- Mavis Airy – notifying her on club policy of no advertising.
- Paul Knox – notifying him of purchasing Microsoft access program, donation to
Andrew Ross, and Westpac rescue Helicopter donation.
- Donation to Westpac Rescue Helicopter.
Financial Report : as per attached sheet.
- Twelve accounts for payment – Tom / Colin – carried,
Membership : as per attached sheet
- Seven new members – approved - Colin / Tom- carried
Colin reported they need new leaders to help with new members o/n trips.
Experienced new trampers can do a backpacking trip instead of an o/n but must be
approved by Colin and Fay prior to trip.
Basecamp and Back-packing report :
- Ian reported more trips still being listed.
- One trip was postponed due to poor weather.
Club Captains Report:
- Rosemary reported the beacons have instructions with them.
- Incident / Accident reports to be signed by chairperson.
- Incident /Accident reports are all held by the Club Captain in a folder.
- Where are the old reports to be stored? In the future to be scanned?
General Business :
- Scanning old minutes – Ken reported he has scanned the AGM minutes so far and
put them on a memory stick . Ken stated it is very time consuming.
- Name badges – discussed, not to continue with purchasing them.
- Xmas Picnic – to be held south end near hall cost $2 a head which club will pay.
Father Xmas - Ken – Robin has suit. To buy goodies for bag.
BQQ – Robin
Games – Kubb and disc bowls Tom to bring.
- Club Hand book draft 5th edition
Mavis to be asked if she could do the graphic / layout. Ian
Different colour for cover possibly blue.
Angus Mc Donald to print new copies. Ian
- Committee meetings – meetings to finish at 10 pm at the latest.
To investigate, Westpac venue for committee meetings. Rosemarry.
- New Health and Safety officer required.
Mary, previous officer, to be emailed to see if she had a job description. Rosemary
- Safety in the mountains book – there are 20 in stock. Moved to order 40 more.
