MEMORANDUM FOR WALDORF SOCCER CLUB
FROM: WALDORF SOCCER CLUB EXECUTIVE BOARD
SUBJECT: Policy Directive 2010-1, Bryantown Sports Complex Concession Stand Policy
1. The Waldorf Soccer Club (SC) Executive Board is pleased to partner with the Charles County Department of Parks and Recreation to operate the concession stand at the Bryantown Sports Complex.
2. The Executive Board puts forth the following procedures to lay the ground rules and aid personnel in the operation of the concession stand.
a. The Waldorf SC will provide all monies to be used in the concession stand.
b. The Waldorf SC will provide all propane tanks required for use with the outdoor grill.
c. Minors under the age of 11 will not be permitted to operate the concession stand.
d. No one under age 13 will be responsible for the collection of or handling of any monies in the concession stand.
e. There will be no running of tabs or passing/receiving free food or drinks (referees performing their duties are exempt from this requirement and only with the presentation of a valid Waldorf SC referee food voucher; waters and Gatorades are not limited in quantity, but should be issued within reason).
f. The concession stand clean-up will not begin until half-time of the last scheduled game of that day (the grill clean-up may commence at the start of this game).
g. The concession stand will remain open at least 15 minutes after the conclusion of the last scheduled game of the day.
h. The Waldorf SC Executive Board will be the adjudication authority of any disputes.
i. SATURDAYS and SPECIAL EVENTS (as required): Concession stand operation on these days will be by Waldorf SC travel teams. Travel teams working the stand will be chosen by lottery prior to the fall session. All monies raised will go towards the Waldorf SC.
i. Travel teams working in the concession stand will arrive 30 minutes prior to the start of the first game of the day.
ii. Travel teams will be paid (by the Waldorf SC) a set fee for operation of the concession stand. The fee is set by the Waldorf SC Executive Board and is currently set at $700.
iii. Travel teams will not solicit donations or conduct fundraisers at the Bryantown Sports Complex at any scheduled Waldorf SC event.
iv. During periods of acceptable weather, travel teams must work the full day to receive the full fee. Travel teams not working the full day or providing insufficient quantity or quality of personnel to operate the concession stand may have their fee withheld.
v. In case of inclement weather, teams will receive a prorated fee based upon the number of quarters started. Quarters are divided into approximately 0730-1000L, 1000-1230, 1230-1500, and 1500-1730. For instance, if a team starts working at 0730 and the county closes the fields at 1234 then the team would receive credit for ¾ of a day.
vi. Travel teams will need to provide one responsible adult (from each shift) to meet with concession stand committee personnel during the week prior to concession stand operation (preferably on Friday). Concession stand equipment familiarization and pre-operation inventory will be accomplished during this time.
vii. Travel teams are required to provide a minimum of five people (at least three being parents, with one on the grill and two others inside the stand at all times) to operate the concession stand (1 parent for grill operation, 1 individual for order taking and cashier, 1 individual for the nacho machine and pretzel machine, 1 individual for drinks and snow cones, and 1 individual as a rover). It is recommended a maximum of eight individuals (at least three being parents with one on the grill and two others inside the stand at all times) during the same time period should be used for operation of the concession stand.
viii. Travel teams will need to monitor the amount of food available during the last hour of scheduled games in an attempt to reduce the amount of wasted food products.
ix. The Waldorf SC has the right to withhold full payment to any travel team that fails to clean the concession stand (including the grill) to Board of Health standards, fails to remain open for the full soccer day, fails to operate the concession stand in such a manner as expected by common sense and decency, or fails to operate concession stand equipment within established operating limitations and guidelines.
x. Travel teams working the concession stand are expected to claim their fee from the Club within five days of working the stand. Vouchers mailed to the Club must be postmarked within this five day period. Any money unclaimed at the end of this period will be considered forfeit and remain with the Club.
j. SUNDAYS and SPECIAL EVENTS (as required): Concession stand operation on these days will be facilitated by the Waldorf SC Executive Board. All monies raised will go towards the Club.
