Board of Director and Sub-Committee Position Descriptions

Executive Board of Directors

President

  • Have detailed knowledge of all Cluboperations.
  • Provide timely, responsive assistance to all Board members.
  • Communicate all correspondence to the club board.
  • Preside over monthly Board of Directors’ meetings of the club.
  • Ensure WCLAX is in compliance with club bylaws at all times.
  • Can serve as a Director in a specific area of programs and operations.
  • Delegate responsibilities to Club Board Members to ensure seamless activity
  • Reconcile bank statements with Treasurer to ensure proper use of funds
  • Maintain all passwords and access to all online accounts, social media etc.
  • Attend Sub-Committee meetings.
  • Attend all required NCJLA Meetings and report back at BOD Meetings
  • Community Outreach; research and develop programs to grow the game of lacrosse
  • Communication with other local lacrosse clubs or organizations to establish the growth of the lacrosse community.
  • Point of Contact with Woodcreek High School, Roseville Joint UHSD and all other schools.
  • Review all communications between club and NCJLA. All communication with NCJLA or USLacrosse must be reviewed with Club President prior to submission.

Vice President

  • Have general knowledge of operations.
  • Preside overmeetings of the club when the Presidentcannotbe present.
  • Take over the responsibilities of the President when necessary.
  • Attend any meetings with or in place of President.
  • Ensure club is in compliance with bylaws at all times.
  • Assist in the delegation of specific responsibilities to club board members to ensure seamless activity.
  • Can serve as a Director in a specific area of programs and operations.
  • Set up annual and special elections as needed.
  • Apply for any available Grants from NCJLA, USLacrosseor community supporter

Treasurer

  • Ideally the treasurer should be either a CPA or an individual who has familiarity with financial and tax matters.
  • Preparefinancial statements, including an income statement and a balance sheet, in a format that accurately reflects the operations of the club and provide monthly statement to BOD Meeting.
  • Reconcile the bank, website and PayPal accounts of the club.
  • Prepare the tax forms for any tax returns both federal and state as required on annual basis
  • Ensure all accounts are paid in a timely manner for expenses and purchase orders.
  • Ensure all deposits are made and all funds are transferred from PayPal accounts.
  • Set-up any players payment plans, adjust accounts on website for scholarships and discounted players.
  • Collect and present Scholarship applications for registration fees to BOD for approval
  • Complete legal filings for corporation and non-profit, sponsorship.
  • Prepare a budget with the Executive BOD for the current season and upcoming season.
  • Review bank accounts to ensure funds are being used properly according to club bylaws and ensure bank accounts are not at risk for theft with President.
  • Ensure that coaches are paid or reimbursed in a timely manner.
  • Review and reimburse any BOD members for approved expenses.

Secretary

  • Coordinate and schedule all meeting locations
  • Take minutes of all meetingsand send to Board for approval at next meeting.
  • Assist with compliance paperwork as needed.
  • Keep an updated list of chapter board members with contact information.
  • Keep a record of the club bylaws and any other historical documents.
  • Ensure that Insurance for club, equipement and all events is purchased or documents are prepared and current with USLacrosse (Bollinger Insurance).

Sub-Committee Positions

Team Parent Coordinator

  • Coordinate team parent meeting in early January for season kick-off.
  • Liaison between Board and Team Parents. Communicate club needs throughout the season to the Team Parents.
  • Ensure that the Team Parents have assigned Volunteers to cover all games for timekeeper, scoreboard, fields set-up, stats.
  • Coordinate Training Meeting with Team Parents and Parent Volunteers at scrimmage game in beginning of season (Mid -February).

Merchandise Coordinator

  • Research, present for approval, order and disperse any Woodcreek Lacrosse Merchandise
  • Collect Apparel orders (coaches/fan apparel) and place order.
  • Order and distribute Team Uniforms, Apparel and promotional items with assistance of Team Parents

Event Coordinator

  • Organizer and Director of Club Events such as Camps, Clinics or Community events
  • Organize Senior Recognition Night and Food Truck Event
  • Organize with Team Parents the End of Season Party.
  • Schedule and organize Team Picture Day
  • Director of Indoor Lacrosse

Field and Game Scheduler

  • Submit online school district field reservations for all practices and games
  • Attend NCJLA scheduling meeting in December to ensure all games are scheduled according to NCJLA guidelines.
  • Email communications with other NCJLA clubs to schedule games accordingly by January Deadlines.
  • Confirm all Home games using the Arbiter website on a weekly basis during season.

Equipment/Field Maintenance Coordinator

  • Organize and maintain Inventory list of all club equipment throughout season.
  • Provide list of any equipment needed to Board (after review with Coach Coordinator)
  • Distribute equipment to coaches at startof season.
  • Distributegoals and all home field equipment to fields at start of season.
  • Ensure that fields and goals are ready for set-up before each home game
  • Collect all equipment at end of season and take Inventory
  • Report any missing equipment to Coach Coordinator

Coach Coordinator

  • Recruit & retain qualified coaches for each age level and season.
  • Pre-season planning and program development.
  • Coordinate coach’s education including US Lacrosse Level education as well as PCA training.
  • Organize, Collect, Maintain andSubmit all coaching requirements to NCJLA
  • Director of all Clinics and Camps
  • Act as liaison for Board and Coaches
  • Point of contact for Parents and Players with any Coaching issues.
  • Submit all reviews of officials on Arbiter.
  • Ensure that all Coaches are following NCJLA guidelines; score submission, certifications, safety etc.
  • Ensure that all practices and games are sufficiently staffed.

Fundraising Coordinator

  • Organizer and Direct all Fundraising Events
  • Coordinate one major fundraising event per season such as Casino Night
  • Research new Fundraising Events or Programs and present to BODfor approval
  • Coordinate with VP on Grant requests
  • Review club financials with BOD to determine fundraising needs

Safety Coordinator

  • Schedule Baseline Testing. Organize and Ensure that all players have received Baseline Concussion Testing
  • Ensure that all First Aid kits are stocked with all necessary supplies. Request needed supplies from BOD.
  • Ensure that each coach is provided a small First Aid Kit and ice packs and restock as needed
  • Ensure the home field has a large First Aid Kit at all times and is stocked as needed
  • Research and present BOD any new safety guidelines from NCJLA or USLacrosse.
  • Coordinate with Coach Coordinator that all Coaches are NCSI certified and have signed the Coaches Code of Conduct.

Student Relations

  • Communicate with Student Athletes to establish a Student Board of Directors
  • Present the nominees for Student BOD for approval from Executive BOD
  • Organize and Direct the Student BOD in at least two meetings during the season
  • Organize and Direct with Student BOD at least one community service event
  • Collect and submit for review the Spirit of the Stick Scholarship. Notify and present awards.
  • Collect Grades from all Student Athletes and report to President and Coach Coordinator twice during season

Advertising and Media

  • Maintain Website and Social Media
  • Post and/or approve all photographs to webpage
  • Update Club information as needed on all sites
  • Organize all advertisement such as printflyers, submit flyers to advertising agencies for any upcoming events in a timely manner.
