I have received an application, what do I do and by when?
You must complete the Head of School/Director of Research Institute Statement. In this you should detail whether you support the application, providing justification for your position.
I don’t support the application, what do I do?
You should meet with the applicant to discuss with them why you feel that you cannot support their application and provide them with a justification on your position.
You may wish to discourage the applicant from continuing their application highlighting that should they wish to continue and they are unsuccessful they will not be able to reapply in the following year without the support of their Vice Principal & Head of College.
One of my employees has not made an application, but I believe that they should, can I do one on their behalf?
No, but you may wish to encourage the respective employee to apply providing clear rationale as to why they should, however, the decision to apply is that of the applicant.
Ideally this should be discussed as part of the Personal Development Review.
Once I have completed the Head of School/Director of Research Institute Statement, where do I send this to?
Completed applications should be returned, together with the following documentation, by the deadline date :
- Curriculum Vitae
- Enlighten Publication Report
- Spreadsheet Appendices (for Research & Teaching and Academic Clinicians at Reader and Professorial level)
The application can be submitted by the applicant or Head of School/Director of Research Institute but there must be a clear understanding of who is sending this to avoid confusion and missing submissions. Once received and checked the PPR team will send an email receipt.
I have received an application for a Grade 9/Reader/Professor, is there a different process for me to follow?
You should discuss the applicant’s nominated references prior to submission in order for you to nominate those who are appropriate for the application. You are not permitted to act as a referee for the applicant.
For a Professorial application, you are required to consult with and have commentary informed by all Professors within your area before the submission of the supporting statement which should include a range of review expressed and should list the professors with whom there has been consultation.
You may be expected to answer questions of a factual nature at the College Promotion Committee stage.
What are the Academic Promotion timelines?

Grade 9 and Professors notified of final outcomes / by 29th June 2018*
Effective date of promotion / 1st August 2018
* Subject to receipt of references.
Can I act as a reference for an applicant?
No, you are not permitted to act as a referee for an internal applicant.
One of my direct reports has been unsuccessful, what support/feedback from the panel will they receive?
The applicant’s outcome letter will provide a brief synopsis of the College Promotion Committees comments and will advise who to consult for further support.
Is there any managerial training to support providing difficult feedback?
Heads of School should consult with College HR and Vice Principal and Head of College if they are concerned about providing feedback.
