Notes and details for Catering Stands attending the rally

LOCATION

The Rally will be held at Great Trethew Farm, Horningtops PL14 3PQ

APPLICATIONS

All applications must be received by 15 July 2017 and will be dealt with on a first come first served basis. Fees must be paid in full before the start of the show. No stands will beallowed on site until full payment has been received.Late bookings will not be included in the show programme

COST

Each catering pitch will cost £100 per dayfor the duration of the Rally. Payment can be made by BACS, please ensure that your trading name is included with the payment.

CANCELLATIONby traders

Cancellationsmade more than 6 weeks prior tothe rally date will result in a 50% refund being

made. Cancellations made less than 6 weeks prior to the rally will result in no refund being made. Any

refunds will be posted during the week after the rally has closed.

CANCELLATIONby the RallyCommittee

In the event of the cancellation, postponement or abandonment of the Rally, the Rally Committee

will make refunds at its discretion. Traders will not have any claim against the Rally Committee or

any member of the Committee in respect of any loss or damage whatsoever consequent upon the

Rally, or any part of it failing, for whatever reason, to be held or having to be abandoned.

INSURANCES

Allcaterersmust havePublic Liability Insurance of£5,000,000 for any oneclaim, and where, necessaryEmployers Liability and Product Liability Insurance.

SETTING UP

All stands are to be set up by 0800 on the first day of the Rally and will be expected to be open until approximately 1700 each day. However catering units may be required to be available after this time for those staying on the site andthe Saturday evening entertainment.No stands will be allowed on site until full payment has been received.

The Rally Committee will allow stands to be set up from 1800 on the Thursday prior t0 the Rally, however the RallyCommittee will not be responsible for any loss or damagethat may occur prior to the Rally. No tickets are required forsetting up however all instructions issued by the Committee

must be adhered to.

REMOVAL

All stands must be removed by the Wednesday following the Rally.

VEHICLE RESTRICTIONS

Any restrictions for the size or type of vehicle entering theRally Field will be considered and reviewed dependentupon weather, ground and local traffic conditions.

A speed limit of 5 mph will be enforced when vehicles leave the public highway.

Other than demonstration vehicles, service vehicles and theEmergencyServices

NO VEHICLE MOVEMENT WILL BE ALLOWED ON THE RALLY FIELD BETWEEN 0930 AND 1630

whilst the Rally is open to the Public

PASSES

1 car pass and 2 exhibitor passes will be included with the pitch booking.

NO OTHER FREE TICKETS WILL BE ISSUED. Additionalentrance tickets can be ordered on the booking form (at a reduced rate).

ELECTRICITY

An electric supply can be provided at a cost of £30 on a first come first served basis. Application forms are included in thebooking pack.

BARBECUES

No barbecues will be allowed.

GENERATORS

Generators and electrical equipment brought to site mustbe installed and certified by a competent person prior to use.

NOISE

Please provide details on the entry form if you intend to operate noisy machinery or equipment. No noise will be permitted after 1200 midnight.

CATERING

All Catering Rights are strictly reserved. A copy of the relevant Hygiene Certificate and Fire Risk

Assessment must be provided

FUNDRAISING

Please declare on the application form if you intend to sell raffle tickets and/or collect donations. This type of activitycan only be made within the space of your stand.

WASTE

Please note that there are no facilities for the disposal of tradewaste from the Rally, all stallholders must make their ownprovisions for the disposal of their waste

TICKETS

Admission tickets, payment receipt and a plan of the Rally Field will be sent to you by the end of JULY 2017.

SAFETY POLICY

A copy of the Safety Policy for the Rally will be sent to you with your tickets.

THE RALLY COMMITTEE RESERVE THE RIGHT TO ASK EXHIBITORS TO LEAVE THE RALLY FIELD IF THEY ARE FOUND TO BE IN BREACH OF ANY OF THESE CONDITIONS OF BOOKING OR RALLY RULES. NO REFUNDS WILL BE MADE TO ANY PERSONS ASKED TO LEAVE THE RALLY.

Great Trethew Vintage Rally, Great Trethew, Horningtops.

August 26, 27 & 28. 2017.

Enclosed are the application forms for a catering stand at the Great

Trethew Vintage Rally, August 2017, a copy of the Rally notes and an

electrical supply application form.

The rally will open each morning at 0900 and the activities and displays

will start at 1030.

With the exception of service and display vehicles no vehicular

movement will be allowed on the rally field between 0930 and 1630, all

deliveries and collections to stalls must be made outside of these times.

The closing date for stand applications is 15 July 2017.

COMMON SENSE RULES FOR USE OF THE CAMPSITE

  1. Any instructions issued by Rally Stewards must be adhered to
  2. Users of the campsite must report to the Campsite Steward before pitching their unit.
  3. All vehicles are restricted to 5 mph after leaving the highway.
  4. It is recommended that each unit will be equipped with a fire blanket/extinguisher.
  5. Users of the campsite must remove their own waste.
  6. All wastewater must be collected in a suitable container for disposal and not be allowed to run over ground.
  7. Chemical toilets and wastewater must be disposed of in the facilities provided for this purpose.
  8. All pets must be kept on a lead (no more than 2m in length)
  9. Children must be supervised at all times.
  10. Noise must be kept to a minimum. There should be no noise from 2359 to 0700 each day.
  11. The use of a generator should not cause any inconvenience to fellow campers.
  12. Naked flame appliances and fires are not permitted.

The Rally Organisers reserve the right to ask any user of the campsite to leave (or cease the nuisance) if these rules are not followed.
