Unity Health ( is a busy 3 surgery GP practice in York serving over 22,000 patients in the Fulford, Heslington & Osbaldwick areas. We are recruiting a part time Medical Secretary to join our expanding team. The role will initially be based at Wenlock Terrace and University of York Health Centre, surgeries.

If you have an eye for detail, are a competent audio-typist skilful in the use of Microsoft Word and Excel, we are looking for you!

Medical Secretary

The following job description provides a broad guide of the sort of duties that the Medical Secretary is expected to perform. The MedicalSecretary can expect the support of the doctors and the practice staff in order to carry out these duties. Periodically, the Medical Secretary will be encouraged to attend courses relevant to the post as arranged through the Managing Partner in line with his/her Personal Development Plan.

The Medical Secretary is expected to be a competent audio-typist skilful in the use of the word processing facility used by the practice (currently Microsoft Word) and Microsoft Excel.

In general, the Medical Secretary should endeavour to be polite and helpful at all times and to conduct themselves in a manner appropriate to the position.

All practice staff are expected to maintain total confidentiality and will receive training in this area as part of their induction programme. Staff are required to sign a Confidentiality Agreement prior to formal training.

Secretarial Duties

  • Audio typing and electronic filing copies of letters dictated by a doctor or practice team member.
  • Recording of referrals on to the computer system
  • General typing as requested by a Doctor or the Managing Partner.
  • Typing of medical reports as required.
  • Faxing urgent referrals and correspondence as required
  • Management of the in-house GP referral meetings and production of Minutes.
  • Taking of Minutes at ad-hoc meetings as required.
  • Recording of cervical smear results and updating of recall dates as required.
  • Ordering of stationery and cartridges for practice requirements.
  • Attendance at staff meetings and participation in staff training as identified and required by Practice Manager.
  • Administration of the Choose and Book system for hospital appointments
  • Monitoring of documents sent to secretaries via Workflow and actioning as required.
  • Attendance at meetings as required and production of Minutes or notes.
  • Actioning of electronic tasks received via the clinical system.
  • Management of NHS Mail e-mail accounts (generic account for the practice and personal account).
  • To support the Managing Partner with administrative and secretarial support as required.
  • Administer the Referral Support Services (RSS) system.
