Job Title: Director, Business Services

GENERAL DESCRIPTION:

The Director, Business Services is responsible for advanced professional accounting; including account maintenance, audit, and expenditure control of fiscal transactions. In addition, the position supports the Controller and VP of Business and Administrative Services in directing budget and cost controls, financial analysis, and accounting procedures. Work is performed under the general direction of the Controller or VP of Business and Administrative Services.

ESSENTIAL JOB DUTIES:

1.  Responsible for review and approval of all requisitions to ensure funds availability, accuracy and completeness.

2.  Directly supervises all Business Office personnel; and is responsible for completing and submitting annual performance evaluations. Provides approval of, or recommends disciplinary actions for Business Office personnel. Conducts employment interviews and makes hiring recommendations.

3.  Reviews all College requisitions for appropriateness (e.g. cost control, waste reduction) and procedural compliance

4.  Responsible for monthly and year-end general ledger closings. Maintains all detailed assets and liabilities documentation.

5.  Assists the Controller or VP of Business and Administration with financial analysis and completion of various reporting requirements, as needed.

6.  Provides training for new Business Office Staff on proper procedures and accountability processes.

7.  Reviews all accounts payable batches for completion and accuracy.

8.  Works with the various external auditors during their visits to the College. Prepares various audit worksheets as requested by auditors.

9.  Responsible for completing and sending assigned financial reports to various government agencies on a timely basis, including state and federal grants such as FA399 reports for CROP, Perkins Postsecondary Grant and Jobs for Florida’s Future. Responsible for reporting any deviations or unusual occurrences to the Controller and VP of Business and Administrative Services.

10.  Monitors cash flow for the College and reviews the monthly bank reconciliation prepared by the Payroll Specialist.

11.  Assists in the writing of the Business Office procedures. Suggests procedural or functional changes in the accounting area to improve the quality of and efficiency of work.

12.  Responsible for obtaining authorized funds from the Florida Keys Educational Foundation and the Florida Keys College Campus Foundation, including preparation of monthly invoices. Monitors club expenditures and balances.

13.  Voids checks in Banner and maintains applicable supporting documentation.

14.  Prepares and enters daily, weekly, monthly and yearly journal entries.

15.  Reconciles PECO Funds monthly and submits for cash disbursement.

16.  Reconciles daily cash reports and submits to Controller or VP of Business and Administrative Services for approval.

17.  Responsible for preparing year-end 1098’s.

18.  Participates in the Business department’s efforts, activities and responsibilities with regards to SACS accreditation and reaffirmation.

19.  Arranges for and participates in ad-hoc meetings with President, Vice Presidents and other College offices to address financial and other related issues Serves as liaison to Financial Aid on most matters.

20.  Works directly with students to resolve accounting problems.

21.  Serves on College committees as required.

22.  Required to attend spring Graduation/Commencement ceremony

23.  Other related duties as assigned.

KNOWLEDGE, ABILITIES AND SKILLS:

·  Bachelor's degree from an accredited institution in Accounting or related field required. Master’s degree preferred. CPA a plus.

·  Five (5) years of accounting experience, government accounting preferred.

·  Certified Public Accounting Certificate preferred.

·  Ability to provide immediate and accurate information and as-hoc analysis in a fast paced environment.

·  Knowledge of government accounting, auditing, and expenditure control.

·  Knowledge of accounting systems and procedures.

·  Knowledge of applicable laws and procedures in the receipt, custody and expenditure of monies.

·  Ability to plan, organize and supervise the work of professional and paraprofessional accounting personnel.

·  Ability to prepare financial and statistical reports.

·  Ability to work independently with minimum supervision.

·  Ability to establish and maintain effective working relationships with students, staff and the public.

·  Ability to communicate both verbally and in writing.

·  Skill with a PC computer and software, especially in Microsoft Office.

·  Ability to perform basic math calculations.

SALARY: $58,098 minimum - based on Education & Experience
