Dear Friends and Volunteers of the Envirothon:

The Pennsylvania Envirothon Board of Directors invites you to volunteer at the 2015 State Envirothon competition. This competition includes an oral presentationcomponent and the traditional station testing.

Registration and the Oral Presentation Component will be held on Tuesday, May 19,on the University of Pittsburgh Johnstown (UPJ) campus.

The traditional station testing will be held on Wednesday, May 20, at the Windber Recreation Park (off campus).

Attached you will find the following volunteer information:

1)Volunteer Commitment form– If you would like to volunteer, please complete thisform and return no later than April 10thto Lorelle Steachat the address listed below. (Please share with other CD staff, directors, and agency personnel who may want to volunteer.)

Simply indicate by preference the duties with which you would like to help. Assignments are made on a first-come first-served basis. Tuesday’s oral component runs from 10:00 a.m. until 6:00 p.m. and Wednesday’s station competition runs from 8:00 a.m. to 4:30 p.m. Please note the location and time you need to report each day for the mandatory orientation at which you will receive training and instructions. Please take this commitment seriously; it is very discouraging and frustrating when people are late or never show up.

2)Volunteer Disclosure for Background Checks and Clearances – This information is REQUIRED.

3)Volunteer Responsibilities/Duties – This is a brief description of the volunteer responsibilities and duties to which you are committing when volunteering to assist with the Pennsylvania Envirothon.

4)On Campus Volunteer – Lodging Registration form – If you would like to stay on the University of Pittsburgh Johnstown campus, please complete this form and return no later than April 10th to Renee Swineford at the address listed below.

5)Off Campus Lodging and Directions – This is a brief listing of hotels/motels located in the Johnstown area. Directions to the University of Pittsburgh Johnstown campus and the Windber Recreation Park are included.

6)Adult Medical and Photo Release forms – Please complete these forms and either submit along with the other forms or bring them to the volunteer registration table at the event.

ALL Volunteer forms are due April 10th. This allows us time to coordinate with all volunteers and make assignments. You will be notified by April 24th with your volunteer assignment.

The Pennsylvania Envirothon sponsors this two-day program for youth. We want to assure that all Pennsylvania Envirothon staff and volunteers are committed to providing a safe environment for children and youth, are capable of identifying and preventing abuse of children, and have no personal history of behavior that would be a threat to children.

As part of this commitment, and as a requirement of the host university/college, we REQUIREthat you provide the following information.

As a volunteer with the Pennsylvania Envirothon (please check all that apply):

I have adequately and accurately completed the Act 34 PA Criminal Record Check and Act 151 Pennsylvania Child Abuse History Clearance forms prior to the state event with received results stating “NO RECORD EXISTS.” **According to PA Law - Act 153 of 2014 comprehensive criminal and child abuse background checks are required for volunteers who have direct contact with children. Therefore, anyone choosing to serve as a Team Buddy, Room timer, or Travel Official will be required to obtain these clearances.

I am currently a state or federal employee. (Under normal employment situations, such employees are required to sign a code of conduct and have employment background checks done.)

I have obtained clearances through previous employment or involvement with another affiliation (i.e., church, 4-H, Boy Scouts, youth athletics) with results stating “NO RECORD EXISTS.”

VOLUNTEER RESPONSIBILITIES/DUTIES

Oral Component Judge – As a judge you will receive a copy of the problem scenario and a copy of the same resource material the students receive. You will receive this information about two weeks prior to the event. At the event and upon reporting for the mandatory judges training, you will receive an overview of the Oral Component, you will be grouped into a five person judging team, and you will receive training on how to be a judge for the event. Members of the PA Envirothon Board will review your role as a judge, review the problem scenario the students received, review the score sheet and how to use it. They will also go over what types of questions the judges should be asking the students.

Listed below are some of the particulars of what and how the event will occur.

  • The teams will have a timed 20-minute Oral Component session.
  • The team may use up to 7 minutes for the actual presentation to the judges.
  • The judges will then ask questions for the remaining allotted time.
  • The team will be judged and scored on their knowledge, presentation skills, and reaction to the questions.

Presentation Room Timer – At the event and upon reporting for presentation room timer training you will receive an overview of the Oral Component and the problem scenario the students received. You will also receive training and instructions on your duties from PA Envirothon Board members. Clearances are required to serve in this position.

Listed below are some of the particulars of your duties and schedule of events.

  • You will be assigned to a presentation room and will be the person in charge of such room.
  • You will run the clock and start and stop the teams during their presentations.
  • You will make sure the judges are completing their score sheets completely.
  • You will collect the score sheets.
  • You will escort the judges to dinner and back on time.

Team Buddy – At the event and upon reporting for oral component team buddy training, you will receive an overview of the Oral Component and be assigned to oversee specific teams through their preparation period. You will receive training and instructions on your duties from PA Envirothon Board members. Clearances are required to serve in this position.

Listed below are some of the particulars of your duties and schedule of events:

  • You will be asked to assist with checking in teams, directing and escorting them to the correct room/building for preparation and presentation.
  • You will serve as the team’s prep room monitor.
  • At the end of the one-hour prep time you will escort the team to its presentation room.
  • Once the team is delivered to its assigned presentation room, you will report to OC Registration and collect another team to start the process again.
  • Team buddies should bring along a book, magazine, something to keep busy and occupy time.
  • You will review the oral component rules and regulations with each team.

Station Travel Officials – At the station testing, you will receive instructions from PA Envirothon Board members. As a station travel official you will be responsible for a group of teams. You will move them from station to station; accompany team members to restroom; monitor the group for any inconsistencies; etc. This responsibility requires a lot of walking. Clearances are required to serve in this position.

Score Runners – You will receive instructions from PA Envirothon Board members. As score runners you will be responsible to walk to one or more assigned stations to gather test scores which you will deliver to the scoring room. This responsibility requires a lot of walking. The terrain at the testing site is mostly level with some moderate hills.

Food Service – You will receive instructions from PA Envirothon Board members. As food service volunteers, you will be responsible to assist with the delivery of coffee, water, and lunch for all participants to all stations. This will require some lifting and walking. You will also assist in setting up an afternoon snack for the participants.

Oral Component Scorers – You will receive instructions from PA Envirothon Board members. As oral component scorers, you will be responsible to assist with tabulating the oral presentation scores from Tuesday’s team presentations. This will require sitting, tabulating scores from the score sheets, and double checking math.

Clean-Up Crew – You will receive instructions from PA Envirothon Board members. As members of the clean-up crew, you will be responsible to assist with dismantling the station tents and placing them in the Envirothon trailer, moving and folding rented chairs and tables and placing them in a designated area, and gathering bags of trash/recyclables and placing them in a designated area.

Volunteer Lodging: Apartment style rooms available for volunteers have a living room, kitchen with refrigerator, two-full bathrooms, carpeting, and air-conditioning. There are both 4-person apartments and 5-person apartments. The 4-person apartment allows each guest to have their own private bedroom. The 5-person also has 4 bedrooms, which means that 2 people will share a bedroom. A Packing List can be found on the following page. Lodging assignments will be made by the PA Envirothon Board and University of Pittsburgh Johnstown (UPJ) staff.

From Eastern, Southern or Western Points: Take PA Turnpike (Route 76) to Somerset Exit (Old Exit #10). From Somerset, take Route 219 North to the Geistown/Elton Exit, PA Route 756. Make a right off the exit, then another right onto Theatre Drive. Follow signs to campus.

Alternate route from Eastern or Southern Points: PA Turnpike (Route 76) to Bedford Exit (Old Exit #11). At exit, turn left on Business Route 220, and then left again onto Route 220 (I-99) North towards Altoona. Exit onto Route 56 West. Follow Route 56 for approximately 30 miles until you reach a traffic light near the community of Windber. Continue on Route 56 for about 3 miles until you come to a traffic light at Theatre Drive.
