Post Title / Attendance and Admissions Officer
Purpose /

To workwithin the Academy to help to create an ethos based upon Co-operative values and approaches and an enterprise culture. To act as a coach/mentor to a group of students.

Reporting to / Attendance Leader
Responsible for / Inputting, monitoring and managing student attendance and admissions data
MAIN (CORE) DUTIES
Operational/Strategic Planning / Attendance:
  • Ensure all student records are up-to-date
  • Supply weekly requested data to Leadership Team
  • Maintain computerised attendance records for all students
  • Monitor & follow up missing registers
  • Supply class and tutor registers when required e.g. for cover or for a system failure
  • Operate and monitor student absence phone line records
  • Look for patterns of absence and report to appropriate member of staff as appropriate
  • Prepare and analyse student attendance and punctuality reviews as requested by Leadership Team/AIOs
  • Produce regular summary absence printouts to enable monitoring and follow up of student absence
  • Provide regular statistical returns for senior leaders
  • Monitor and record student attendance in conjunction with the AIO
  • Complete termly and half termly statistical returns re attendance and requested information to various agencies
  • Carry out first day contact to parents/carers
  • Liaise with parents/carers and agencies re student absence
  • Input school holiday/ training day information
  • Sign in late students
  • Sign students in for their exams
Admissions:
  • Administer the admissions and withdrawals procedures maintaining accurate numbers of students on roll
  • Receive applications, log them onto spreadsheet; record decisions (discussion with Principal where necessary) on the spreadsheet and pass the form to Admissions
  • Enter all new students onto SIMS system, pre-admissions and in-year intake ensuring up to date contact information is entered and all Unique Pupil Numbers are input in a timely manner; allocate all new admissions to a Guild
  • Promote pre-admission list to new intake following SIMS procedure
  • Assist with transition arrangements from KS2 to KS3, including letters to primary schools and parents as requested by Leadership Team
  • Liaise with the Local authority, Principal, Guild, EAL & SEN teams in relation to in year admissions
  • Liaise with primary schools to ensure we have prior attainment data
  • Follow up requests for information with regard to new in year admissions
  • Attend Appeal Hearings when requested
  • Be responsible for all administration associated with the Year 6-7 Transition process
  • Print and collate documents for Principal for FAP meetings then go through to update with CAL responses in preparation for next meeting
  • Be responsible for the process of removing students from the Academy roll when Home Education is elected (including ensuring all relevant paperwork is lodged with the LA).

Pastoral System /
  • To act as a Coach and carry out the duties associated with the role as outlined in the generic job description.

Communications /
  • To ensure effective communication as appropriate with all stakeholders and persons or bodies outside the Academy, particularly with our sponsors.

  • To undergo appropriate training in order to develop skills for the post.

  • To contribute to the smooth operation of the school through the duty system

Other Specific Duties /
  • To support the Academy meeting its legal requirements for worship.
  • To promote actively the Academy’s corporate policies.
  • To continue personal development as agreed.
  • To actively engage in the staff review and development.
