Minutes of Maintenance Sub-Committee meeting 10.00 am 26th November 2014.

Grass Cutting.

Peter Burridge presented a report commenting on various areas of open space in Modbury and suggested improvements for the future that the Parish Council might like to consider.

There are some areas that are visually prominent and that would benefit from an additional cut; Long Park and the Church Lane splays at the entrance to Town.

There are some areas where we could reduce the number of cuts; the bank at Champernowne and maybe around Wareham’s Close.

There are some areas where we need to consider weed control; Cromwell Park, the Champernowne bank and the southern part of Long Park, (NB he had treated the Church lane splays this year gratis and there had been a great improvement).

The Playground needs cutting more frequently than at present.

The verge outside the Memorial Hall should be included in the contract.

There could be better communication with MARS about timing the cuts on the Recreation Field so that if there is an event coming up it can be cut beforehand.

Consideration should be given generally to improving certain areas of the Recreation Ground, e.g. around the car parks.

It was agreed that a tender should be prepared for a three year period, subject to “break clauses” every twelve months, on both sides. This tender to be based on a maintenance plan with agreed standards and incorporating the suggestions made.

Peter Burridge would furnish the Council with estimates of the costs of spraying various areas to control weeds on the roads.

Peter Burridge was thanked for his report.

The Maintenance Sub-Committee recommends to the Parish Council that tenders be sought for a three year period, subject to the annual “break clause” review. Also, that an additional cut be made in Long Park and Church Lane to be met by reducing the cuts to the Champernowne bank.

The Maintenance Committee recommends to the Parish Council that a weed control programme be introduced over a three year cycle.

Maintenance of Parish seats.

Several seats are worse for wear and need improvement / replacing.

Peter Burridge was asked to prepare a schedule of work required, with a cost estimate.

Memorial Hall Play area, works required.

Parts have been ordered from Wicksteed for repair of the wooden walkway. It would be fitted by Mark Lawrence.

The play area is checked every month by SHDC and by Mark Lawrence to satisfy insurance requirements.

The condition of the seat in the play area is very poor and will be covered by the Peter Burridge report.

TAP fund Lengthsman’s duties.

Mark Lawrence would seek formal quotes from N Adams and others for the work proposed and as previously reported to Council. The Informal discussions to date suggest that the work can be done within the remaining funds available.
