Absence Reason Codes for Professional Learning

The current SFE system and Business Leave Request are being replaced with Aesop. The processes for acquiring and costing substitutes for professional learning absences will also change.

In the past, the site administrator (typically the secretary) or an assistant to a chief or director had to request business leave for all employees either through the Oracle Business Leave Request or by contacting the substitute office directly. The substitute office then would enter all of the absences in SFE. The job numbers where then sent back to the originators of the requests and from there were forwarded to the employees taking the leave.

With the increased emphasis on professional learning this complex workflow frequently results in confusion, absences not being entered on time and mistakes in costing of substitute work hours.

With Aesop the employees will own the responsibility to enter their own professional learning absences. The professional learning absence reason codes (once only available to the substitute office) will now be available to the employees. The offices holding the budget authority for the type of leave taken will approve the leave in Aesop before the system calls subs and the job is available on the Web. Because of this shift it is essential that the offices holding the budget authority be made aware of the business leave in time for the system to acquire a substitute.

Principals, supervisors, directors, coordinators, consultants, coaches, assistants, secretaries and any other employees who arrange for professional learning sessions, visitations and other meetings must send a complete list of employees scheduled, with dates, times and names to the office of the budget authority involved at least three days before the event. The following list indicates which offices are responsible for which absence reason codes.
