ROLE

The purpose of the position is to build relationships with parents and prospective parents to increase the number of students attending St Andrew’s School and ELC. The Registrar is to ensure the enrolments processes at the school are efficient and effective.

DUTIES AND RESPONSIBILITIES

Student enrolments

  • Seek new enrolments for St Andrew’s School and ELC
  • Process all enrolment inquiries including data entry in TASS and Hubworks
  • Manage registrations and wait-lists
  • Manage all aspects of new enrolments, including maintenance of accurate records and development of enrolment projections and trends
  • Track all enrolments from first inquiry through to commencement at the school
  • Update enrolment information (eg student profiles, medical records and permission forms) in relevant databases.
  • Responsible for all reporting to the Government (State and Federal) for reporting and grants, including (but not limited to) Student and Staff Census, attendance data, special needs, ELC census, Languages Survey. Including internal management reports for the Board and relevant Committees.
  • Manage new/withdrawal students and communicate details to relevant staff throughout school year
  • To update and maintain supplies of all enrolment documentation and publications.
  • Liaise and work closely with the Director of Development to promote the school, to attract new enrolments and to enable the coordination and planning of relevant events.

Overseas Students

  • Manage all aspects of the enrolment process for overseas students in accordance with relevant Acts and legal requirements

School Tours

  • Organise Principal Tours and personal tours with the Principal for prospective clients and when required lead relevant school tours.
  • To assist with the preparation and coordination of exhibitions, fairs and school promotional events.

Scholarships

  • Coordinate the scholarship application and testing program with the Deputy Principal: Learning & Teaching, so that processes and applications abiding by ACER guidelines (Academic Scholarships only).
  • Administer all relevant related scholarship correspondence.

Orientation Program

  • Organise orientation days for parents and new students
  • Attend and assist information nights for current and prospective parents and students
  • Disseminate information to prospective clients including fees, clothing lists and all other requirement for the commencement at the school

KNOWLEDGE, EXPERIENCE AND SKILLS

  • Outstanding interpersonal and communication skills, with demonstrated ability to build rapport and interact effectively at all levels of an organisation
  • A solution orientated person, with an ability and a desire to identify and bring about significant improvement and streamlining of processes, systems and record keeping
  • Strong organisational and time management skills, with an ability to prioritise tasks, meet prescribed deadlines, and concurrently manage a number of competing tasks
  • Good English language skills including grammar, spelling and punctuation
  • Demonstrated high-level computer skills and literacy, with skills in MS Office/Word/Excel, electronic diary applications and use of TASS database desirable
  • Highly developed keyboard skills and ability to format and present information accurately, quickly and logically
  • Excellent management of electronic and hard copy files with logical easy-to-find categorisation
  • Knowledge of the independent school sector an advantage
